Organizations is a feature to set up advanced B2B accounts for your customers. All users under an organization can create a return in the Customer RMA Portal.

Available in: Advanced Customer Portal (Return Bird Essentials, Professional, and Enterprise)

You can set up an organization account at different levels:

  • General: the company of one of your customers

  • Entities: different (legal) entities under the company

  • Locations: different (physical) locations under an entity

  • Business users: different users under the company

For each business user, you can define the entities and locations from where the users can create and ship returns.

Organizations come in several parts that make up the whole. An organization exists out of Entities, that each has various locations with addresses and each organization has users that have access to various locations from where they are allowed to request returns.

Requesting organization access

Businesses can request access to your returns portal as an organization, provided the following Portal level parameters are enabled. “B2B login enabled”, “B2B creation enabled”. These two allow your customers to log in using organizations and to request the creation of new organizations. If only the first of these is enabled, Business Users can log in, but only agents can create organizations in the admin panel.

Businesses or Agents need to enter various pieces of information when requesting or creating an organization. This information is then visible in the admin panel under Settings -> Portal Settings -> Organizations.

When a customer fills out information they are requested to provide their company legal registration information (Tax number/chamber of commerce) as well as contact information and one (they can add more later) physical location with an address.

Approving / Rejected organization access after a business access request

When a request is sent in, the business user receives an email (if configured) that their request has been received. If approval is not enabled, the customer can then login and start using the system. If the approval is enabled, an agent user with access to the panel will need to either approve or reject the organization access.

The agent has a dashboard with information on newly requested organizations (provided the agent user has access to that panel). On top, the user can go to the Settings -> Portal Settings -> Organizations. page and view all organizations and their status there.

Organizations that are “pending” can either be approved or rejected by updating them in the detailed view of the organization.

Once approved or rejected, the customer will receive an email with further information about their next possible action, such as logging in to create a request, or to appeal to the rejection process.

The agent can view the organization information details at all times on this page, including new entities or locations that the user is creating.

Managing Organizations as an Agent

There are two segments to creating and managing the organization from the Agent portal.

Users
Business Users function much like end-users but are linked to an Organization. Allowing them to log in and create returns in name of that organization When creating a business user, you can link them to an organization and give them access to that organization.

OrganizationOrganizations are managed under the Portal Settings -> organizations tab. You can configure and maintain this. This is the same information that the business (users) can manage in the portal themselves. It includes making Active / Inactive the various logins.

LocationsLocations are the physical locations of a business where return shipments originate from. You can, like the business users themselves in the portal, manage these locations in the agent portal.

Managing Location AccessBusiness users are granted access to a location address. Under the organization panel in the agent portal, the Users tab in the details of the organization you can assign (or remove) access to a business user from that organization.

The business users in the portal have that same control.
