What is My Documents?
My Documents is your personal space to upload and manage your own documents - certificates, qualifications, and records that relate to you.
Previously, you might not have been able to see your own documents due to system permissions. My Documents gives you direct access to manage your compliance records.
How to access My Documents?
1. Click Documents in the top menu
2. Select My Documents
You'll see:
• Documents you've uploaded (complete)
• Documents you still need to upload (incomplete placeholders)
Understanding what you see
Complete:
Required (Tracked) document is already uploaded
Incomplete:
Placeholder waiting for you to upload
Your Center Director/Line Manager needs this
Not Tracked:
Optional document you have uploaded
Uploading a Document (Completing a Placeholder)
Steps:
• Expiry Date: When this document expires
• Attachment: Upload file
• Link: URL, web link
(Note: These fields may not display if your 1Place Administrator set to not required)
4. Save
RESULT:
Status changes from "Incomplete" to "Complete". Your manager can see you've uploaded it.
Important: You cannot select past dates. If expired, renew it first before uploading.
Renewing an Expiring Document
When your document shows amber status, this document is close to its expiry. Follow steps below to renew the document.
Steps:
Complete the actual renewal first:
• Attend training
• Submit application
• Get new certificate
Open the existing document in My Documents by clicking on the blue document name.
Click on Renew, update the details:
• New expiry date
• Upload new certificate
• Update the link (if this is required)Save
RESULT: Status changes back to green (Current).
Creating an Optional Document
For document types that aren't mandatory:
Real-World Examples
Example 1: Uploading First Aid Certificate
You've completed training and have your certificate.
Go to My Documents
Find "First Aid Certificate" (incomplete)
Enter expiry date (usually 3 years from today)
Photo or scan your certificate
Upload and save
Done! Manager can see you're compliant.
Example 2: Renewing WWC Check
Your WWCC shows amber - expires in 2 months.
Apply for renewal (outside 1Place)
Receive new WWCC
Go to My Documents
Update expiry date and upload new document
Save
Status returns to green.
Example 3: Storing Passport (Optional)
Optional document for work trips or payroll.
1. Go to My Documents
2. Create New Document > Passport
3. Enter expiry date
4. Upload scan (optional)
5. Save
Tips for Success
✔ Check Regularly:
Look for amber status (expiring soon)
Plan renewals in advance
Don't wait until expired
Look out for the reminder notification coming through via 1Place page & email
✔ Keep Good Photos:
Clear, well-lit photos
All text readable
Save time later
✔ Set Personal Reminders:
Add renewals to your calendar
Some renewals take weeks to process
Don't rely only on system notifications

Not sure which document type? Ask your manager
Can't upload? Check file size
Confused? Your manager can help
✔ Keep Current:
Update as soon as you renew
It's your professional record
What Status means?
"Expiring" (amber) → Start renewal now
"Expired" (red) → Urgent - you may not be able to work
"Current" (green) → All good, check expiry date for planning
Common Questions
Q: Why can't I see a document I know I have?
A: Check with your Center Director or your line manager - it may not be configured for your role.
Q: Can I delete a document uploaded by mistake?
A: Contact your Center Director or your line manager.
Q: My document doesn't have an expiry date - what do I enter?
A: Check with your Center Director or your line manager if the field is required.
Q: I renewed my license but still see old expiry date
A: Update on the document page with new details.
Q: Why upload documents myself? Can't my manager do it?
A: Yes, but My Documents gives you direct control and is faster.
