When creating a new Incident Type, 1Place automatically includes a set of default fields to help you get started quickly.
These fields are called "Default Fields." It capture the key information typically required for incident reporting, such as who was involved, when the incident occurred, and what happened. By providing these fields automatically, you can focus on tailoring the form to your centre's needs rather than building everything from scratch.
Default Fields
When you create a new Incident Type, you'll find the default fields already added under the Details section.
While these fields provide a solid starting point, you're not required to use all of them. You can customise your form by removing fields that aren't relevant and updating field names to match the language used within your organisation.
View Available Default Fields
To view all available default fields, click Add Default Fields.
This displays a list of standard fields that can be added to your Incident Type.
Fields that are already included in your form will appear greyed out. If you remove a field, it will become available in this list again, allowing you to add it back at any time.
Rename Fields to Match your Centre
Field labels can be updated to use terminology that is familiar to your educators and staff.
For example:
Default Field | Customised Label |
Name of Affected Person | Child Name |
Date of Incident | Date Incident Occurred |
Type of Injury | Type of Illness |
Renaming a field changes how it appears on the form, while maintaining consistency in reporting behind the scenes. This means centres can use language that works for their team without affecting reporting and data collection.
Customise Answer Options
Some default fields allow you to customise the answer choices available to users.
This is particularly useful when creating different Incident Types that require different information.
To update the available options:
Locate the field you wish to customise.
Click Edit.
Update the answer options under the “Label” column as required. Like in checklist, you can also assign specific colors or score in different option as needed.
Save your changes.
Example: Type of Injury |
|
A Child Injury Incident Type might include:
| Whereas a Child Illness Incident Type may include:
|
Each Incident Type can have its own set of options, helping educators select the most appropriate response.
You may also wish to customise the severity levels used by your service.
Example: Severity |
|
Option Set 1
| Option Set 2
|
Choose the terminology that best aligns with your centre's processes and reporting requirements.
Required Fields
Some fields are mandatory and cannot be removed from the form. These fields are required to support compliance and reporting requirements and will not display a delete option.
Examples include:
Name of Affected Person
Date of Incident
These fields ensure essential information is always captured when recording an incident.
Remove Unnecessary Fields
Not every Incident Type requires every available field. If a field isn't relevant to your form, you can remove it to keep the experience simple and focused for educators.
For example, if your Incident Type doesn't require hazard information, you can remove the Hazard Involved field.
Remember, removing a field isn't permanent. You can always add it back later using the Add Default Fields button.
Flexible to Your Needs
Your Incident Types can evolve as your requirements change.
You can:
Add fields back at any time
Rename fields
Update answer options
Reorganise sections and questions
This flexibility allows you to create forms that support your centre's processes while maintaining consistency across your organisation
Up Next: Groupings and Sections
Now that you've customised your default fields, the next step is organising your Incident Type into logical sections using Groupings and Sections. This helps educators navigate forms more easily and ensures information is collected in a clear and structured way.
