How Agreements Work

Understand the process of selling and setting up Agreements and creating Agreement Tune-Up Tasks.

Introduction

Agreements (or service agreements) act like a membership: a customer can purchase an agreement for their equipment and receive benefits on it for a certain period of time. These benefits usually come in the form of no-cost maintenance tune-ups and discounts on related purchases.

Here's how the agreement process is designed to work in 3C Connect:

  1. Sell or create an agreement
    Example: Your technician sells an agreement to a customer, and in exchange the customer will receive the benefits and discounts that come with that agreement.

  2. Set up the agreement
    Example: After the agreement is sold, someone in your office sets up the agreement by scheduling tune-up reminder tasks throughout the agreement period.

  3. Schedule tune-ups
    Example: When the tune-up reminder task is due, someone in your office calls the customer to set up the tune-up appointment with the customer.

  4. Perform tune-ups
    Example: Your technician performs the tune-up appointment. If this is the last tune-up for the agreement period, this appointment is a great opportunity to encourage the customer to renew the agreement.

1. Sell Agreement

When you sell an agreement or create one for free on a customer's equipment, 3C Connect will begin tracking the progress of that agreement until it is no longer valid.

2. Set Up Agreement

Once the agreement is sold or created, it will be ready and waiting for setup. View all agreements, including those requiring set up, by clicking on agreements in the navigation at the left of the screen.

3. Schedule Tune Ups

This step will repeat as many times as the number of tune-up reminders that were created when setting up the agreement. A reminder task will prompt the assignee to schedule the agreement tune-up at the appropriate time. View all tasks, including agreement tune-up tasks, by clicking on tasks in the navigation at the left of the screen.

Click on a due date to view the task and its requirements.

Agreement tune-up tasks will have an agreement linked to the task. Click on the link to the agreement to view the maintenance schedule.

In the maintenance schedule the linked task and a create appointment link are available. Clicking the create appointment button and setting up an appointment for the customer from this button will automatically mark the task as completed.

When attempting to create an appointment is created after the agreement expiration date, a warning will be shown indicating that you may want to extend the agreement expiration date so that agreement benefits still apply to that appointment.

4. Perform Tune-Ups

Performing tune-ups will reduce the number of remaining tune-ups for the related agreement.

For perpetual agreements, when the last tune-up appointment has been performed in the current maintenance schedule, new tune-up reminders will be generated. A dialog will appear and the created tune-ups can be reviewed.

Dashboard Indicators

An indicator is shown on the dashboard indicating that the customer has one or more agreements.

A number indicates the number of agreements the customer has. The color of the shield indicates if the agreement is valid, expiring or expired. This is based on the "Badge Expires" date.

  • Red: The agreement will expire within 30 days.

  • Yellow: The agreement is valid and will not expire within 30 days.

  • Grey: The agreement has expired.

Examples:

This customer has two valid agreements.

This customer has one expiring and one expired agreement.

This customer has one expiring and one expired agreement.
