Agreement Setup
When an agreement is sold on a work order or created for free, the agreement will need to be set up. To see a list of all agreements, including those needing to be set up, click on agreements in the navigation menu at the left of the screen.
Agreements that need set up will be indicated in the agreement list with a red set up link. An agreement that requires set up does not have any visits or expiration date associated with it. Click on "Set Up" to immediately begin editing the agreement details.
Agreement Details
Most of the settings for the agreement are automatically determined from the agreement type. However, the term end date and agreement expiration date can be adjusted according to your needs.
Benefits End
This date does not affect the validity of the agreement, but serves to signal roughly when the agreement should stop being honored.
Badge Expires
This date affects the validity of the agreement. When this date has been reached, the agreement will no longer apply for the related piece of equipment. This can be set for perpetual and non-perpetual agreements. This is where any final cut-off date for a perpetual agreement can be set. If no expiration date is set for non-perpetual agreements, the agreement will continue to be valid indefinitely.
Processed
This indicator can be used to track whether or not the agreement has been fully processed. The status can be left as unprocessed in cases where a payment still needs to be taken or more setup is required, but benefits should be activated.
Maintenance Schedule
Scheduling maintenance tune-ups in this section as part of an agreement will create reminder tasks to create an appointment with the customer at the appropriate times. Based on the agreement type, tune-ups will be automatically created. They are calculated by spreading out the number of tune-ups offered over the projected agreement duration when the agreement was sold.
Tune-ups can be added by clicking the add tune up button.
Tune-ups can be removed by clicking the deletion icon on individual tune-ups.
Scheduled Date
The scheduled date on a tune-up will translate to a due date in the task it creates. This is when the reminder task will indicate that it's time to schedule a tune-up appointment with the customer.
If any tune-ups are scheduled after the agreement expiration date, you will receive a warning upon saving.
Assignee
An assignee can be designated to ensure that one user is responsible for ensuring the reminder task is completed.
Finishing Agreement Setup
By clicking the save button in the action bar at the bottom of the screen, any tune-up reminders will be scheduled as tasks and the set up will be completed.
