Managing Users and Technicians

Viewing Your User Account Settings

To view your technicians on the User Accounts page, you will need to have the Contractor Admin role assigned to you. You can then navigate to Settings > User Accounts (under the General Settings section).

You can see details about each user, including their access roles and permissions.

Access Roles and Permissions

There are several roles and permissions you may be able to assign to users:

Owner

This is the person who will be managing the entire 3C Connect account. There can only be one owner.

This role grants the following permissions:

  • Give or revoke Contractor Admin roles

  • Transfer Owner role to another user

  • Change the company logo & information

    • These settings are available in Settings > Contractor Settings (under the General Settings section)

  • Have a special avatar

  • Set up email whitelabeling

  • Change billing

Contractor Admin

For managers in charge of other users, money and other organizational details of the business.

This role grants the following permissions:

  • Change the roles of everyone except the Owner and other Contractor Admins

  • Change other users' passwords (including Owner's)

  • Merge customers

  • Manage agreement types, common files, part items, service repairs zones & markups

  • Debrief work orders and manage debrief settings

  • View and manage distributors

  • Send invoices

  • Change settings for replenishments & loans

  • Change settings for Sales Proposals

  • Edit labor rates, Mobile App settings, inspections, price books, work orders

  • View and edit Cost Recovery Plus

  • View and edit settings for invoices, work orders, customers, locations, SMS

  • Import all QuickBooks customers

  • View QuickBooks results

  • QuickBooks setup & settings

  • Delete or restore agreements & work orders (for specific customers)

  • Create work orders from the office

  • Mark a Work Order as Processed

  • Mark an Agreement as Processed

  • Link & unlink work orders with QuickBooks

  • Set up payment processors

  • Set up Online Booking

Appointments

For office staff answering the phone, dispatchers and other users that assign appointments.

This role grants the following permissions:

  • Get notifications when technicians arrive

  • Manage appointments

  • View dashboard

  • Send SMS appointment confirmations

Dashboard

For office staff and technicians that need to view their own schedules and appointments.

This role grants the following permissions:

  • Viewing the dashboard

Locations

For people like dispatchers who should be able to keep tabs on technician locations through the Mobile App.

This role grants the following permissions:

  • See other users' locations on the map

Reports

For sales teams and personnel managers and those interested in tracking progress and incentives.

This role grants the following permissions:

  • See reports

  • See all leaderboards

  • Use the Print All function for reports

Leaderboards

For technicians and teams interested in tracking their progress toward personal and company goals.

This role grants the following permissions:

  • See any leaderboards the user is included in

Agreements

For office staff who communicate about agreement scheduling with the customer.

This role grants the following permissions:

  • Set up, modify, delete and restore specific system agreements

Replenishments

For your warehouse staff and those in charge of inventory.

This role grants the following permissions:

  • View & manage replenishments

Note that some features may not be available for every account. The following features may be requested by contacting our team:

  • Replenishments

  • Reports

  • Videos

  • QuickBooks Desktop

  • QuickBooks Online

  • Sending & receiving SMS

  • QuickBooks import all

  • Sales proposals & loans

  • EnerBank loans

Data Exporter

For your office staff who is allowed to export Excel files.

This role grants the following permissions:

  • Export functionality for customers or work orders

Online Booking

For your office staff who can manage appointments coming in from online customers.

This role grants the following permissions:

  • View the Online Booking Inbox

  • Allow to create or reject online booking

Editing Users & Access Roles

Editing User Information

To edit a user's information, including their avatar or photo, click on a user's name in your list. Then, click edit in the action bar at the bottom right of your screen.

Editing Access Roles

When you click in the Roles box, you will see a list of available roles that have not already been given to the user.

Editing Avatars

For a unique identifier without using a photo, you can set an avatar that's unique to each user. Click Change Avatar to choose a new color and character.

Then select from the available options.

Using a Photo

To use a photo as a user identifier, simply upload one and make sure the option to use a photo in place of an avatar is selected.

Location Settings

To hide or show this user's location on the map to all other users, toggle the option to display on the map.

Deleting a User

To delete the user, click on the "Delete" button in the action bar at the bottom of the screen.

Adding Users

If you have user accounts available for use in the "Available Accounts" total, you will be able to add a user by clicking the button at the bottom right in the action bar.

If you do not have enough remaining accounts, you will need to purchase new monthly active users. In the settings, click on "Billing" and increase the amount of users you want for your account.
You will pay a proration for this account until you reach your billing date.

Only the contractor owner can do this action.

Restoring Deleted Users

To view deleted users, click on the settings cog at the top right of the list of users and click "Show Deleted Technicians".

To hide them, click the same cog and choose the option to "Hide Deleted Techincians".

To restore a deleted user, click on their name in the user list to view their profile. Then, click on the "Restore" button in the action bar at the bottom of the screen.

Please note that it is not possible to change a user email address. If you made a mistake while entering an email address, you will need to create a new user account.
