Advanced Filtering - create, save, retrieve and publish filters

This guide is describing how to create and save a filter in the Valve list section and then publish the saved filter on the landing page

Updated over a month ago

This powerful functionality will enable administrators to create and save filters for other users to access quickly without having to create any filter themselves. This would be particularly handy when running simultaneous operations in the field or doing a tie-back to an existing template etc. The users will be able to copy the link to the saved filter to distribute across for even more seamless usage of ValveTrack.

Valve list filters

You will find the filtering options when you go to the Valve list section. You can search in the shown categories using free text input. The search functionality will return any item with that particular text, letters or numbers.

The search for 'WI' in the Title column will return a set number of items.

You can send a link to anyone of the current search filter (saved or not). Press the 'Copy link' button in the upper right hand corner.

It will produce a unique URL that will specify the current search criteria that is in the filter - see the bolded text below for how the link URL will appear to the recipient: https://4insight.io/#/lighthouses/f2e6fade-a2ec-4bf3-8fab-bb42767f5f7c?page=valve-list&ValveTitle=WI&ValveGroup=GR&ValveTag=0

The filter search will stay active on the Valve list page even as you navigate to other sections in ValveTrack. If you want to 'nullify' the filter (i.e. see all items in the valve list again), then you just press the 'Reset filters' button.

Save newly created filters and retrieve saved filters

Once you have a filter that you are happy to keep for a longer period of time (i.e. to be used repeatedly or across multiple teams based in different locations), then just press the 'Save' button.

When you press the 'Save' button, you will get a new pop-up to name the saved filter search. Please note that you will not be able to press the 'Submit' button until a name is inserted in the 'Title' text field. It is free text input.

To retrieve a saved filter, just press the 'Filters' button and a list of all saved filters will appear below it. Choose the filter you want to activate and the Valve list overview will be updated with the chosen search filter criteria.

You can build on the chosen saved search criteria by clicking the '+Add condition' button. This will open up a new search row where you have the option to choose your new search criteria, adding more specific or relevant input to the filter.

Add as many new search criteria that you want. Save it again by pressing the 'Save' button and give the new filter a new name.

NB: Please note that adding more search criteria will be based on the 'AND' function - that is that BOTH criteria must be valid for the search filter to produce any result. There is not an 'OR' function currently available in the search function.

In the below example, the 'Tag' search input of '0' will result in all items having a 0 in the naming convention. The 'AND' string will also keep reducing the amount of items the search list will return. In this example, the search of only 'Title = WI' produced 26 items, the search of 'Title = WI AND Group = GR' produced 19 items, compared to the below search producing 8 items.

You can remove any single search line by clicking the 'X' button at the end of every search line. Press the 'Filter' button to get the new search results showing.

You can 'hide' the search criteria list if it is impacting your view etc.

Press 'Show more' to see the entire search list again.

Publish a saved filter on the landing page

You can publish saved filters on the landing page for quicker and easier access to any filter result. NB: only a person with administrator access rights can publish saved filters on the landing page.

Navigate to the landing page by clicking the 'Overview' tab. Find the 'Edit' button on the right hand side of the landing page.

You will get a box with a drop-down list of all your saved filters (NB: see the Save section above).

Choose the filter you want to publish and press the '+ Add' button.

Remove the published filter by clicking the 'X' button at the right of the published search box.

You can publish as many filters on the landing page as you have saved filters.

Make sure you press the 'Save' button to activate the filters. If you navigate from the landing page without pressing the save button, the filters will not be published to the landing page.

The search filter(s) will now be visible and available to anyone with access to the specific ValveTrack field.
