Work Order use triggers three separate types of notifications. Below, the three types and when they are used is described.
Initial Notification
When a user is assigned to a work order, they will receive a notification within CSDatum and via email that they have a new assignment.
In-App Notifications
Within the software, the user will see a red bubble notification in the upper right hand corner of the screen with their initials. They will also see an alert within the Notifications area of the welcome screen immediately after they log in.
Initial Notification Email
A user assigned to a work order will also receive an initial email notification stating that they have been assigned to a work order.
Work Order Updates
Throughout the life cycle of a work order, notifications are sent to users who are affected by a change in a work order. When the following updates are made to a work order, users will receive an email notification and an in-app notification.
Work Order Update | Who is Notified |
Assignee Added | The Added Assignee |
Reviewer Added | The Added Reviewer |
Status Set to "In-Review" | Reviewer |
Status Set to "Approved" | Assignee |
Due Date Adjusted | Assignee and Reviewer |
Assignee Removed | The Removed Assignee |
Reviewer Removed | The Removed Reviewer |
Work Order Deleted | Assignee and Reviewer |
The in-app notifications appear shortly after the updates are made.
Email notifications are not immediate. Instead, they are compiled and sent hourly, with multiple notifications in one email. This helps to reduce email overload.
Weekly Schedule Overview
Once a week on Sunday, a Work Order Schedule Overview email is sent to every user that has been assigned to an open work order. The email will summarize work orders that are overdue from last week, and work orders that are due this week.
