Adding default site Locations and Sub-Locations under Settings and grouping products by their location within a quote

A Location is a physical area where the product will be installed at the work site. For example, "Primary Bedroom," "Garage," or "Kitchen." A Sub-Location is a physical area that falls under a Location. For example, the "Bathroom" in the Primary Bedroom.

Cloud allows you to create up to 4 levels of Sub-Locations. This way, for a project with a large site area, Locations and Sub-Locations can help you create a detailed site map. For example, "First Floor" and "Second Floor" are locations, "Conference Room1A" is a sub-location under First Floor, and "Conference Room2A" is a sub-location under Second Floor.

Often, locations and sub-locations are derived from the floor plan of the work site.

Add Default Locations and Sub-Locations

It is good practice to add a list of default locations and sub-locations so they are readily available in the quotes, and you don't have to create them in every quote.

To add a location, go to "Settings > Quote > Default Locations" and click "New location." Then, add the name and description of the location.

To add a sub-location, click the 3-dot menu of the location, click "Create a new sublocation," and add the sub-location details.

*Any changes such as edits, deletions, or reordering of the locations under Settings will reflect only in the quotes you create after the changes were made.

Customize Locations and Sub-Locations in Quote

Once you have added the default locations and sub-locations, they will be shown in every new quote you create on Cloud.

You can do the following to customize the list of locations and sub-locations:

1 - Add New Locations and Sub-Locations

When you have products that don't fit into the default locations or sub-locations, you can add new ones just for this quote.

To add a location, click "New location" and add the new one.

To add a sub-location, click the 3-dot menu of the location or sub-location in the "View By" panel on the left, click "New sub-location," and add the new one.

2 - Delete Unused Locations and Sub-Locations

If some locations have no products mapped to them, you have the option to delete them from the quote.

To delete a location or sub-location, click its 3-dot menu and then click "Delete."

3 - Change the Order of Locations

You can click on a location and move it up or down the list to reorder the locations. This reordering will be seen in the proposal.

Assigning Item to a Location

Items added to the quote will come with their default location set under Settings. If you have customized the Locations or want to move the items to a Sub-Location, there are two ways to do this.

1 - From the Item's Side Panel

Here, you can click on the item, and this will open its side panel. Scroll down to the "Group" area and select the location or sub-location from the "Location" drop-down.

2 - Drag and Drop to the Apt Location

Here, you simply click on the item and drag and drop it to the apt location or sub-location in the "View By" menu.

Location and Sub-Location Item Totals

By default, in a quote, the price totals of the items added under a location and its sub-locations are shown separately. You have the option to factor in the sub-location totals in the location total.

To do this, click the 3-dot menu next to "Locations" in the List view, and toggle the "Include sub location total in parent total" to ON. Now, the price total of the location will increase to show the sub-location totals as well.

In this example, we set the "Include sub location total in parent total" to ON. The "Backyard" location total is factored into the sub-location totals.
