Getting the most out of Quotes

Everything you need to know to make you a quoting expert in D-Tools Cloud

One of the main strengths of D-Tools Cloud is some of the advanced functionality you can use when quoting to make yourself more efficient and get the most out of your D-Tools Cloud subscription. Starting from the most basic, to down the list of advanced features, you will find a high-level overview with links to more details.

Advanced Add

This is maybe the most important part of the software, adding products to a quote. The search bar in the Items section of your view is where you can search for products from the D-Tools library or items you have created. Using the Related Brands, Related Categories, or "See all results for" you can access our Advanced Add. 

In the advanced add, you can use the filters on the left side of the screen to narrow in on the item of choice. Using the "Add to Quote" button, you can quickly add a selected item to one or more locations all at once.

Don't see the product you're looking for, create a new product in the bottom right or even import a list of products.

Connect to Supplier Provided Pricing

D-Tools Cloud has a full team and dozens of i3 Supplier Partners dedicated to providing its users with pricing. The whole goal is D-Tools users will never have to worry about keeping their costs and MSRP updated, this will be done by data and pricing provided by the suppliers. Connect to your suppliers from the settings where you can unlock your pricing, and take advantage of your pricing from suppliers. Here is the list of current suppliers we have pricing for, don't see the supplier you work with, request it here, and be sure to vote so you are alerted when the pricing is available.

Configure labor and service items

There are two ways to use labor. 

  1. The first way is the more simplistic way of entering in a labor line item. This is popular for smaller projects where it is easier to estimate labor. You can do this with Service items or Labor items.

  2. Use the Default product labor provided or set up labor on each product (using category rules) so when you add a product, it will have a designated labor amount for that product added to the quote, so you don't have to think about it. This makes it much easier on larger projects where it can be hard to calculate this all in your head.

Don't forget to set up your labor types in the catalog. Examples might be Prewire Install, Programming, QA, etc.

Build Packages

Packages are similar to folders. If you find yourself adding the same products over and over to quotes, then create a package of these items. When quoting, you can add all the items with one line item that will still show separately in the proposal. Super efficient! You can do this by selecting multiple items in a quote and creating a package, or creating from the catalog. Below is a Sonos Home Theater Package.

Accessories

Accessories can save you TONS of time and prevent headaches later. You can add accessories to products so when you add the product, it will bring in that accessory product too. An example would be when you bring in an in-ceiling speaker, you can add an in-ceiling speaker bracket, speaker case, speaker wire, and/or speaker wire. Spending the time to set these up will pay large dividends in the future. Add accessories from the product sidebar within the quote.

Plan Views

A visual approach to designing your Quote, use Plan Views. Upload a floor plan (or any image/pdf) and mark it up by drawing locations and dragging in products.  A more visual quoting experience you can do live in front of your customers or back at the office. 

Pricing Summary

Take advantage of the Pricing Summary in the quote to see things like your product vs labor breakdown, margins across categories, systems, and locations, actual vs. budgeted, add adjustments, and set up taxes.

Taxes

Set up the taxes for your quote so you can clearly communicate to the user, as well as accurately calculate your taxes. Do so from the quote settings and setting up the product and labor taxes. More about taxes

Adjustments

Add adjustments to your project so you can give family & friends discounts or up-charge for doing work in the city. 

Notes and Tasks

Keep on top of your opportunities, quotes, and projects by using notes and tasks. @mention your teammates, leave important notes to not be forgotten, and assign tasks with due dates, assignees, and notes.
