How to Add an “Updated Contract” Workflow in DocFlite

Sometimes employment contracts need to be updated and re-sent. For example: -Change in hours or role - Pay updates - Policy changes

Instead of overwriting the original contract and then automatically re-sending all your policies, DocFlite allows you to create a clear, trackable workflow so you can:

  • Keep a record of the original agreement

  • Only send an updated version of the Employment Contract (no automatic sending of policies or handbooks)

  • Track when the new contract is accepted

This article will explain how to

  • A new Status: Updated

  • A new Workflow that allows you to re-send contracts from Accepted

Step 1: Add a New Status (“Updated”)

  1. Go to Admin>Document Manager

  2. Select your Employment Contract document type

  3. Click Add Status

  4. Enter:

    • Name: Updated

    • Colour: (recommend blue to match updates)

NB; This status represents a contract that has been revised and is awaiting acceptance.


Step 2: Add a Workflow to the “Accepted” Status

Still within your Employment Contract document,

  1. Go to the Accepted Status

  2. Click Add Workflow

  3. Enter:

    1. Name: Send Update

    2. Colour: (recommend green to match updates)

    3. Click Create WorkFlow

You will need to make sure this button is for your purposes only (and not the people you are sending the document to) and mark it Internal

1.Click Send Update (that you have just created)

2.Select: Internal

Next you will need to configure the workflow:

Steps inside the workflow:

  1. Select Add Task

  2. Choose Type

    • Select Send Document

    • Click: Create Task

Now you need to add the messaging for the email.

  1. Click on Send Document (that you just create)

  2. Populate the Message box appropriately. We recommend using the placeholder text {customer.forename} and {document.owner.signature}

NB. You can copy and paste the message from the Send Contract task in the Draft workflow.

Create Move To Task

1. Select Add Task

2. Choose Type

- Select Move To

- Click: Create Task

Now choose where the Contract will be Moved to when it is Accepted

1. Select Move To

2. Go to Move to Status

- Select Updated

Step 3: Allow the Contract to Be Accepted Again

  1. Go to the Updated status

  2. Add a workflow:

    • Action Name: Accept

    • Click Create Workflow

You finished Status, Workflow and Tasks that you have just created will look like this:
