Appointment scheduling in Outbound Calling is an incredible tool that can help you streamline your day, and improve customer loyalty. We recommend these tips below to help make the most of it.

  • Expectations Before Arrival - It is recommended to create expectations with your customer who just made an appointment. Discuss what they need to bring, if anything, to fix their issue appropriately or to answer their question. Lastly, let them know where to go or who to see to when they arrive.

  • Timing is Everything - Check your scheduled appointments and scheduling habits. You may not want to schedule back-to-back appointments if you know a particular appt reason may take longer than 15 mins, or if you know that you won't have enough reps in store to handle appointments being made. Lastly, be aware of normal foot traffic in conjunction with these appointments.

  • Export Appointments Every Day - Print this report out each day. This report export will ensure your team or co-workers can easily and quickly move through appointments. Clearly communicate where to find the current day's export and have the export in a clearly accessible area.

  • Check Appointments Every Day - Before you start the day, head into Elevate Marketing and go to the Scheduled Appointments Report. There you can get an idea of what to expect for the day and if you need to prepare beforehand. If you are getting in, later in the day, check out the Scheduled Appointments Export if someone has already printed it out.

  • Check-In and Check-Out Customers - The easiest way to keep track of appointments is to create a check-in and check-out process. When someone arrives for their appointment, mark on the Scheduled Appointments Export that they are here. When you are finished with an appointment, mark on the Scheduled Appointments Report Export that it is complete or cross it out altogether. This way, your co-workers know who is next in line or if an appointment has been taken.
