Using the Calendar Scheduler Stage Selector

Learn how to use the Scheduler stage selector to configure and manage calendar availability across multiple openings, location groups, stages, and opening owners.

When creating availability on the Fountain Calendar, you’ll use the Scheduler stage selector to choose which Openings and Scheduler stages your availability applies to. This lets you create availability across multiple Openings at once, making setup faster and more efficient.

To learn the initial steps of creating availability, review this article.

Creating Your Conditions

After selecting the Host for your event availability, you’ll land in the Scheduler stage selector section. First, choose the condition types and the values that determine where this availability will apply. You can select one condition type or multiple condition types.

There are four condition type options available: Opening, Location Group, Stage Name, and Opening Owner. Each condition type can be used once in an availability. Click + Add conditions to add another one.

  • Opening: allows you to select one or multiple previously created Opening values in your account.

    • Fountain recommends naming your Openings uniquely so they are easy to search for and select when creating availability.

    • You will only see Openings in the value field that the Host you selected has access to via their permission settings.

    • If you search for an Opening and it does not appear as an option, you may need to select a different Host.

  • Location Group: allows you to select Location Group values previously created in your company’s account.

    • You will only see Location Groups connected to Openings that the Host you selected has access to via their permission settings.

    • If the Host has access to only some of the Openings in a Location Group, you will still be able to select that Location Group. However, not all Openings will be included. Only the Openings in the Location Group that the Host has access to will be included.

    • If you search for a Location Group and it does not appear as an option, you may need to select a different Host.

  • Stage Name: allows you to select previously created stage values in your company’s workflows.

    • Scheduler stages with the same name but that exist in different workflows will appear as one value. For this reason, Fountain recommends naming your stages uniquely so they are easy to search for and select when creating availability. You can always change the name of a stage if you run into an issue selecting the correct Scheduler stages.

  • Opening Owner: allows you to select one or more users who own Openings. The availability applies to every Opening owned by the users you select.

    • You will only see owners of at least one Opening that the Host you selected has access to.

    • The availability appears on an Opening only when that Opening is owned by one of the selected users and the Host has access to that Opening and its stage. If an owner has 10 Openings and the Host can access 4 of them, the availability applies to those 4.

    • An Opening with no owner of its own counts as owned by its location’s owner, then its Location Group’s owner, then the account owner.

    • If you search for an owner and they do not appear as an option, you may need to select a different Host.

After choosing your condition types, select the values for each condition in the field on the right. You can select only one value (such as one Opening, one Location Group, one stage name, or one Opening Owner) OR you can select multiple Openings, Location Groups, stage names, or Opening Owners.

Multiple values for a condition type are evaluated using OR logic. For example, in the screenshot below, the Fountain Calendar will add availability for the Folsom Pasta - Chef Opening with a Hiring Manager stage if it is in the Louisiana Hospitality Location Group OR the Folsom - Pasta Chef Opening with a Hiring Manager stage if it is in the Louisiana Hospitality Location Group.

Different condition types are evaluated using AND logic. The word AND appears between condition rows, and the availability applies only where every condition is true. For example, Stage Name is In-person Interview AND Opening Owner is Jordan Lee adds the availability to the In-person Interview stage of Jordan Lee’s Openings only.

Conditions Apply to This Availability Only

The conditions decide where this Host’s availability appears. They do not stop other Hosts’ availability from appearing on the same Openings. If another Host’s availability uses only a Stage Name condition, applicants on those Openings see that Host’s times too. To keep an Opening to one Host’s times, edit the other Hosts’ series (Edit Series) so their conditions leave that Opening out, for example with their own Opening Owner or Opening condition.

Tip!

When building conditions, if you need to remove a condition type, simply click the trashcan icon to the right to remove it.

Updates to Openings or Location Groups

The Scheduler stage selector is dynamic, meaning that if a new Opening is created, a stage name is changed, or an Opening’s Location Group is updated, those changes will be automatically evaluated against existing conditions. This determines whether new Openings and stages should be included in (or excluded from) your availability.

Example 1:

  • You create a new stage named Recruiter Interview for an Opening that is part of the Oregon Location Group.

  • You previously created availability with a condition type: Location Group is Oregon.

  • This new stage will be included in the availability because of the way the Scheduler stage selector was set up: all scheduler stages for all Openings in the Oregon Location Group will be included.

Let’s add another layer to this example:

  • You create a new stage named Recruiter Interview for an Opening that is part of the Oregon Location Group.

  • You previously created availability with a condition type: Location Group is Oregon AND Stage Name is Manager Interview

  • This new stage will NOT be included in the availability because of the way the Scheduler stage selector was set up: only Manager Interview stages for all Openings in the Oregon Location Group would be included.

    • To fix this, simply find the availability on the calendar, click it, and select Edit Series. Then add the Recruiter Interview as a value in the Stage Name condition type section.

Example 2:

  • You create a new Opening for Hinsdale Cashier in the Chicago Suburbs Location Group. This Opening has a Scheduler stage named Phone Interview.

  • You previously created availability with a condition type: Stage Name is Phone Interview.

  • This new Opening will be included in the availability because the way the Scheduler stage selector was set up, all Phone Interview stages are included regardless of Opening or Location Group.

Let’s add another layer to this example:

  • You create a new Opening for Hinsdale Cashier in the Chicago Suburbs Location Group. This Opening has a Scheduler stage named Phone Interview.

  • You previously created availability with a condition type: Stage Name is Phone Interview AND Location Group is Chicago Suburbs.

  • This new Opening will be included in the availability because the way the Scheduler stage selector was set up, all Openings in the Chicago Suburbs Location Group with a Phone Interview will be included.

Let’s tweak the example:

  • You create a new Opening for Hinsdale Cashier in the Chicago Suburbs Location Group. This Opening has a Scheduler stage named Phone Interview.

  • You previously created availability with a condition type: Stage Name is Phone Interview AND Location Group is Illinois.

  • This new Opening will NOT be included in the availability because the way the Scheduler stage selector was set up, only Openings in the Illinois Location Group with a Phone Interview will be included. Your Opening is in the Chicago Suburbs Location Group which is not included.

To fix this, simply find the availability on the calendar, click it, and select Edit Series. Then add the Chicago Suburbs Location Group as a value in the Location Group condition type section.
