Create special events and manage invitations and attendance

You can create special events in your venue, and manage them with Fresto. An event might be a wine-tasting, a concert, a private party or any other special occasion to which people are invited. You can generate tickets and monitor sales.

Create an event

Basic setup:

The Events tool displays a list of your upcoming events. When you create an event it will be added to the list. To create one, follow these steps:

Page: Events

  1. Click on the Add event button.

  2. In the panel, fill in the relevant details for the event. Provide at least a Title, a Long description of the event, and the time and date, as well as the total capacity for the event and the maximum number of guests per booking.

  3. Click Add to save the event.

  4. The event will now appear listed in the table in the Events view.

The table in the Events tool provides plenty of functionality. Each row represents an event, and there you can see at a glance the event Title, price, dates, and guest numbers. This covers the number of guests out of the total capacity who have accepted, as well as the numbers who have been invited or waitlisted.

At the end of the row there are buttons that let you print, copy the invitation link, manage guests for the event, add guests to the event, edit the event and delete it.

In the Events panel, there are several additional settings you can use to get even more value from Fresto.

Setting

What it does

Short description

In addition to the Title and Long description, which are mandatory fields, you can provide a short description of the event here.

If there is a public event on the day for which guests try to make a normal booking, this Short description of the event will appear in the booking system.

Upload image

Upload a background image for this event, displayed in online booking. If you do not provide an image a generic one will be displayed.

RSVP

Set a date by which the invitees must respond. If you leave this field blank, there is no date limit.

Staff notes (not visible to customers)

Make notes for you and your staff for this event.

Selected a CSV file

Upload a file in CSV format, containing the emails of your invitees. Note that this can only be done once.

Requires ticket payment

Decide whether invited guests have to pay for a ticket. When this is activated, another field becomes available where you can enter the ticket price.

Set menus

Select the Set Menus from which guests can choose at the event.

Close bookings during the event?

Determine whether or not to close booking on the day of the event or while the event is in progress.

Select the Floor Plans that should be closed for booking

This is only used if the event only uses a Floor Plan.
