User Email Settings (Admin Only)

The Email Settings for each GEMS user allow for control of Compliance Tracker Emails. Users will receive information only on Activities and To-Do Items to which they are assigned.

A GEMS Administrator User can change their own email settings by clicking their User Profile icon and then clicking Details.

Click Edit.

Scroll down to “Email Settings”.

Please note: Only a GEMS Admin can change a user's settings on this page.

All Compliance Tracker Emails

Ensures all communication emails relating to the compliance tracker are sent

No Compliance Tracker Emails

Turns off compliance tracker emails, no emails relating to the compliance tracker are sent.

GEMS Administrator Users can also adjust the email settings for other users in the database from their equivalent User Details page. To learn how to access other users' User Details pages, see Viewing Existing User Accounts.

Configuring Activity Notifications (Admin Only)

Administrators can configure Activity notifications from the Activity Configuration screen in GEMS – Admin > GEMS Administration > Activity Configuration.

By selecting “Activity Notifications” the notification configuration screen can be accessed.

When configuring notifications Admins can add new notifications or edit and delete the existing Compliance Tracker notifications.

Please note: For clients using Computershare’s Global Managed Services (GMS), only those Notifications under the Client Notifications tab can be modified. Notifications under the Computershare GMS Notifications tab can only be modified by Computershare GMS staff, but they are visible here so that Administrators are aware of the source of all Notifications.

When editing an existing notification or setting up new notifications the following options are available:

  • Send “New Activity/To-Do Item” email when an Activity is created.

Please note: A unique email will be sent for each activity created.

  • Send 'Compliance Tracker Overview' email daily when Activity/To-Do Items are due in “X” day(s)

Please note: Where more than one notification is configured of this type only one compliance tracker overview email will still be sent daily to users, but a row highlighting each set of “X” days will appear at the heading of the email.

  • Send notification “X” day(s) before Activity Due Date / Activity Extended Due Date

Please note: A unique email will be sent for each activity that meets the specified “X” days configured in the notification.

  • Send notification “X” day(s) before To-Do Item Due Date

A unique email will be sent for each To-Do Item that meets the specified “X” days configured in the Notification.

  • Send notification on Activity or To-Do Item Due Date / Activity Extended Due Date

Please note: A unique email will be sent for each activity that is due on the specified due date and has not been marked “Complete” yet.

  • Send daily notifications for Overdue Activities or To-Do Items

Please note: A unique email will be sent for each activity that is overdue on the specified due date and has not been marked “Complete” yet each day the activity remains incomplete.

  • Send notification to To-Do Item Assignees when a dependent To-Do item is ready to action.

Please note: A unique email will be sent for each “Ready” To-Do item.

Please note: For quicker and easier navigation, "Ready" and Query emails contain embedded links. These links take recipients directly to the relevant To-Do Item or Query in GEMS

Email Templates (Admin Only)

Compliance Tracker email templates can be found within GEMS email templates.

Please note: These settings can be found under the “Manage Email Settings” section within the Admin Menu. The “Manage Email Settings” section of GEMS is only available to GEMS Administrators

These templates use HTML and can be customized.

Please note: The report field in the Overview email must be included to include Compliance Tracker Reporting information.
