Workflow Automations are a set of actions taken when an application is set to a specific state. For example, you can set up a workflow that automatically assigns specific document checklists to an application when the application status is set to "Approved". To edit these automations, go to Settings and click on Workflow from the menu.
Statuses
You can add and edit application statuses under the Statuses heading. Here is what each option means:
Position: This will be the order in which the statuses will appear from the drop down menu when you click to change an application status. The lower the position number, the higher on the list it will appear.
End State: You can set multiple statuses as end states. For example, Cancelled, Funded, and Declined statuses are all end states to an application. All end states require a reason to be selected when chosen.
Some example statuses:
Lead (default)
Waiting for Approval
Instructed
Processed
Declined
Funded
Closed
End State Reasons
Every end state must have at least one reason. This will ensure when you look back at an application in an end state, you can quickly find out why it was cancelled for example, or declined.
There is no limit to how many end state reasons you can have per status, and deleting end state reasons will not affect historic applications that were set to that reason.
How to Set up an Automation
Creating an automation helps you set predefined actions to be taken when an application has been set to a specific state. For example, an automation can assign an outstanding document checklist to be added to applications that have been set as "Lead".
Go to Settings.
Click on Automation.
There are a few setting on this page, scroll past Statuses and End State Reasons and click Edit next to Automation.
Click Add and choose a Status.
After you've chosen a Status, you'll have another drop down menu to choose a Document Type Template.
Important note: Before you can set up your automation, you need to set up your Document Checklist Templates. You can do this by going into a sample application and setting up a template under documents.
