Payment Status Filters on Invoices

Filter invoices based on their payment status (e.g., Paid, Unpaid) directly from the Invoice Index Page, including within custom views.

Why would I use Payment status filters?

  • Instantly see which invoices are unpaid or partially paid, so you can follow up with customers and improve cash flow.

  • Set up a saved view like “Unpaid Invoices This Month” to monitor payment activity without reapplying filters every time.

  • Use filtered views to export data or generate reports on payment trends, helping you make informed business decisions


Step-by-Step Guide

Step 1: Navigate to the Invoice page

  1. Go to Invoicing > Invoices.

Step 2: Apply the Payment Status Filter

  1. Look for the filter panel.

  2. Find the “Payment Status” filter option.

  3. Click the dropdown and select one of the following:

    • Paid

    • Awaiting Payment

    • Partial Payment

Step 3: Use in Custom Views (Optional)

  1. After applying your desired filter, click “Save View” or “Create Custom View”.

  2. Name your view (e.g., “Unpaid Invoices”).

  3. Save it for quick access later.

Role Permissions Required

To use this feature, the account must have either:

  • The “Can Take Payments” permission is enabled, or marked as a “Cash Customer”.

If you don’t see the filter, check with your administrator to ensure your account has the correct permissions.

Limitations

  • This feature does not apply to invoices that are synced from linked accounting systems (e.g., Xero, QuickBooks).

  • Only invoices created within OnRent can be filtered by payment status.
