Telematics and Asset Tracking

How to connect and configure telematics to keep asset meter readings up to date automatically in OnRent Go.

Telematics and Asset Tracking

Telematics integration allows asset meter readings to be updated automatically in OnRent Go, keeping your equipment records accurate without manual data entry. Once connected, meter readings flow directly from your tracked assets into the system. It can also be used with Excess Use charging to charge additional hours on top of your rental rates.

Step 1: Enable Asset Tracking

Navigate to System Setup > Subscription and Billing > Subscription Details and locate Asset Tracker Connections.

You can either add Klipboard Asset Tracking or alternative asset tracking connections eg JCB LiveLink.

Once the connections have been addd you can add asset packs in blocks of 50 to map the providers telematics ID to your serialised stock levels.

The following third-party providers are currently supported:

  • Cartrack NZ

  • CAT

  • EROAD

  • Fleet Pin

  • Hi Mate

  • JCB Live Link

  • Komatsu Komtrax

  • Teletrac Navman

  • Trackunit Iris

  • WebFleet

If you require an additional integration please get in touch with your Account Manager or Heldpesk team via Intercom.

Step 2: Configure Role Permissions

Navigate to System Setup > Roles, select the relevant role, and enable the Asset Tracker related privileges. Save the role once updated.

This controls which users in your business can view and manage tracked asset data.

Step 3: Activate the Integration

Navigate to System Setup > Integrations, scroll down to Telematics and Asset Tracker, and set it to Active.

Step 4: Connect and Configure

  1. Select Connect

  2. Select Configure the relevant provider.

  3. Search for the asset you want to track

  4. Tag your Item Number to the Asset ID

  5. Click Refresh from Providers to pull in the latest data

⭐ Quick Tip: If you have a large fleet to set up, asset tracking configuration can be exported and imported in bulk, saving you from repeating this process for each asset individually.

Viewing Meter Readings

Once an asset is connected, navigate back to the asset and open the Meter Readings tab. Readings will populate automatically from the provider going forward. This works in the same way as it would if you enter a meter reading manually, albeit these will be automatically populated at set intervals. Servicing schedules will be updated accordingly.

⚠️ Only new meter readings will appear after the connection is made. Historic readings from before the integration was set up will not be imported.

Summary

Telematics integration removes the need to manually update meter readings across your fleet. Once assets are connected and roles are configured, readings update automatically, keeping your records accurate and your team informed.
