Deactivating or Deleting an Employee, Contractor, or Volunteer

How can I deactivate or delete an employee, contractor, or volunteer from our system?

When an employee or contractor is no longer active with your company and you’d like to hide them from your active roster on the Staff page and from your Dashboard statistics, you can do so in the system.

Go to Staff > {PERSONNEL FILE} > Employment Tab

Within every person’s file, there is a change status button on the Employment Tab of the profile. Click it to get two options: Deactivate or Remove Staff (delete completely).

Deactivating an employee will remove them from your staff page and from the stats on your dashboard, but you can still revisit their personnel file and even reactivate them if needed.

Additionally, deactivating an employee ensures their profile remains accessible, making it easier to retrieve and reactivate if they are rehired in the future.

REMOVING AN EMPLOYEE FROM YOUR ORGANIZATION IS A TRUE DELETE!

Not even our engineers can wave their magic wand and retrieve the file if you do this. You will get a quick warning screen to make sure you really, really want to delete this file completely.

If a rehired employee's profile was deleted, it cannot be found in admin search, and administrators may need to search by alternate email addresses to locate any associated data.

This is useful for employees who have never logged in or completed a form, as well as for test profiles.

To avoid potential data loss, it is recommended to deactivate an employee’s profile rather than delete it, especially for those who might return to the organization.

This is what the employee will see if they try to log in.
