Migration File Formatting Guidelines

This guide outlines how to prepare your historical Form I-9s for migration into WorkBright

Important: Data must be submitted in the exact format specified below. Files that do not meet these requirements will be returned for correction, and our committed turnaround time does not begin until we receive a correctly formatted file. We cannot reformat or correct files on your behalf.

To complete your migration, please follow these steps:

  1. File Naming

    1. Each Form I-9 file must include the employee’s name in the file name (e.g., Jame_Doe_I9.pdf)

    2. If you have multiple files for one employee (supporting documents, photos, audit logs, etc), either:

      1. Combine them into a single PDF OR

      2. Make sure each file name includes the employee’s name (e.g., Jane_Doe_passport.pdf, Jane_Doe_SSNcard.pdf)

  2. Organize and Zip Your Files

    1. Place all of your I-9 files into one folder

    2. Zip (compress) the folder into a single file before uploading

    3. Recommended naming convention: CompanyName_I9Migration.zip

  3. Upload Files Securely

    1. Upload your zipped file to the secure upload site using the link we provide

    2. Once uploaded, our team will confirm receipt and begin the migration process.
