The SOP tab on the left-hand side menu deals with managing, creating, editing and publishing SOPs.
Creating and uploading an SOP is done via the 'SOPs Management' tab. This section is also used for assigning SOPs to different facilities, requesting feedback and publishing to the organisation.
In order to upload a new SOP, simply follow the instructions below.
Click the 'Upload New SOP' button.
2. Fill out the form.
Assign an SOP code in order to allow you to identify the SOP.
Fill in the name and description.
A dropdown menu for 'categories' will show. Select the topic this SOP relates to. You can select more than one.
3. Click the green 'Next' button to proceed to the next stage.
'Facilities Access' allows you to control what facilities will be able to view your SOP. To add only selected facilities, highlight it and click 'add selected'.
4. 'Groups of Facilities Access' similarly controls what teams can access your SOP. You can modify what teams can see your SOP in the same way as that for facility access.
5. 'Upload file' is where you upload your saved SOP to the dashboard. Drag a file from your desktop and drop it in the box shown, or simply click the grey box to bring up a list of you
6. Step 5, 'Publishing' gives you the option of saving the SOP as a draft or publishing it instantly.
The blue 'skip sign-off request' button allows you to skip the next step if you do not wish to assign sign off requests. Pressing this button will publish your SOP.
7. Sign-off requests require facilities/teams to which the SOP applies to, to sign off once they have read and understood the SOP.
A date for publishing and a sign-off completion deadline can be set in stage 6; 'New Sign-Off Request' using the calendars by clicking on the green calendar symbol.
8. The final step, 'Send Notifications' allows you to select users to send notifications to acknowledge that they have read and understood the SOP.
Highlight the user and click 'add selected'.
Click the blue 'Finish' button to submit your SOP.
9. You can access this SOP any time by searching for the unique code on the left-hand side, or by using the 'search' bar.
