How to set up Online booking times and days and enable your services and location options

Pocket PA gives your clients the best way to book in to see you via your own personalised Online booking system.

  • First, you need to set up this function and choose the options for how you want your online booking system to operate

  • Go to your Online booking settings by clicking on Appointments in the top menu bar.

  • By default, the Online Booking option is automatically switched OFF.

  • To enable Online Booking, this switch must be ON.

NOTE: For online booking to work correctly, all 4 tab icons must always show in green


  1. SET UP

Location

  • Click the ON button if you are mobile and need to collect the clients address for each booking.

  • If you are not mobile keep it switched OFF and enter in a fixed location to where your clients will be seeing you.

PROTIP: If you work from different fixed locations on different days, you can specify this in the calendar set up

Service

  • Ensure at least 1 service, 1 class or 1 package is enabled for Online Booking otherwise your clients will have nothing to choose to book in with you.

  • Either ensure that when you create your service, class or package that you ENABLE the Online Booking option OR add a new one directly from this tab by clicking the green + button.

Availability

  • Ensure at least 1 day is switched ON in your calendar settings to show availability for Online Booking.

  • The green checkbox next to the day name indicates that day is AVAILABLE (or not) for online bookings

  • No ticked check box means it is not switched on to allow online bookings for that day

2. BOOKING SETTINGS

Calendar & Time Slots

  • Select how close to today's real time you wish to allow access to book available.

    Example 1: selecting '1 hour' means you allow clients to book in very last minute with only 1 hours notice if you have a slot showing in your online calendar

    Example 2: Selecting 24 hours / 1 day means you will only allow clients to book with at least 24 hours notice - so clients will only be shown free spaces that appear 24 hours from the time they try to make the online booking

  • Select how far in advance you want to open up your calendar (from 1 day to 12 months). Some people like to keep it open for the next few weeks and others like to open their diary up months in advance - you decide what best suits you.

  • Select the time slot sizes that will display in your calendar.

    Example 1: 15 mins will show appointment availability every 15 minutes so 9.00, 9.15, 9.30, 9.45, etc

    Example 2: 60 mins will show appointment availability every 60 minutes so 9.00, 10.00, 11.00, 12.00, etc

  • Time Efficiency - switch this ON if you want to only show clients your first available slot each day. Leave OFF if you want them to see any and all spaces that they can book.


Customization

  • Choose to personalize your Online Booking experience that your clients will see when they book with you.

  • Start by choosing the colour of the Text and icons that will show in the Online booking process by selecting your preferred colour from the wheel.

  • If you would like to redirect your clients to your website or social media page AFTER the booking is confirmed, then add in the URL and link to the Callback URL box

  • You can also personalize the message that your client will see on completing their online booking

    e.g. Thanks for booking and see you soon, Best wishes Jennifer


Cancellation Policy

  • Add a link directly to your Privacy Policy and/or Terms and Conditions for your clients to see your policies during the booking process.

  • Your client will be asked to check a box to confirm the Booking details and that they agree to your Terms so it's a good idea to add them so they can see them easily.

  • Switch ON/OFF accordingly if you want to allow your clients to cancel any online booking appointments made.

  • If you switch this ON (to allow clients to cancel), you can select the minimum time and notice period that must be given by them, otherwise, the cancellation won't be possible.

    For example: selecting 1 day means your client must give you at least 1 days notice of any cancellation

To Preview how your Online Booking page will look to your clients, click on the PREVIEW button in this tab

It will show you the look and feel of what your clients will see when they use the link to your Online Booking page.


Once you have completed all information in your settings area, and all 4 tabs are green press the Save button and double-check that your Online booking button at the top is switched ON to complete your Online Booking set up
