Pocket PA integrates with Square to process card payments from your clients and make sure you get paid fast.


PRE START UP NOTES:

  1. A card reader is needed to take in person card payments with Square

  2. Card readers start at £19 and can be ordered online.

  3. You will also need to download the Square native app to connect with your card reader by bluetooth

  • Payments made via Square get tracked straight to your income dials once paid.

  • All Square transaction fees are logged automatically by Pocket PA to your business expense area.

  • Square transaction fees for in person card payment - Chip & Pin or Contactless is 1.75% per transaction

  • Square Auto invoicing can be activated once Square is connected - transaction fees are 2.5% per transaction

PROTIP 1: You need to be sure that card payment is switched ON in your Payment settings.

How to take Card payments using Square

Start by adding a new payment.

  • Add a new Payment by clicking on the Plus button in the top right bar.

  • Alternatively use the Plus button on the Income Page.

  • When you add a payment it can be a payment for

    • a service

    • a sale

    • combined payment

    • or standalone payment.

  • Select any payment under Choose Payment Type that you want to pay for with the Card (can be Appointment payment / Sale payment / Combined payment or Standalone payment) This is just an example below.

NOTE: this example will work the same whether its for a Sale, Appointment, combined or Standalone card payment

  • In the Create Payment screen choose the payment method you want to use from the dropdown.

  • Select Card Payment from the dropdown menu.

  • Press the green Pay button top right once you've selected the Card Payment option.

  • You will then be transferred to your Square app on your phone which will open

  • It will ask you to 'connect' (by Bluetooth) to your Square card reader so ensure its switched ON, has enough power (green lights will show) and is close enough for the signal between the reader and your phone not to be interrupted

  • The payment amount will appear and your client will need to check and tap their card on the card reader if its contactless OR add in for Chip and Pin to add in a PIN number

  • Once the transaction is accepted Square will show a success message in the Square app and you will be redirected back to your Pocket PA screen and see a green success message

  • When the payment is completed, you will be taken to the Income screen where your last payment will show at the bottom

  • Check the Payment Method column to see your latest Card Payment entry

To do all the steps shown in the video you will need to set up the following things first:

  • Ensure your Card payment is ON in Payment set up

  • Square is connected under User Profile > Integrations > Square

  • Downloaded the Square app to your phone and signed in

  • Your Square card reader is paired by Bluetooth to your card reader
