How to set a specific rule for generating new article numbers

Navigation in the system

Go to the menu on the left-hand side

Scroll all the way down and select Settings (under System)

In the list that appears, go to the section Article / Product

Click on Article number setup


1. Type

Specifies which category the rule applies to:

  • Article

  • Product

  • Equipment

Each type can have its own numbering system.


2. Number setup

This is the actual format (template) for how the number should look.

Examples:

ART####-RR

  • ART = fixed prefix

  • = running number (automatically increasing)

  • -RR = fixed suffix (can be a code, revision, etc.)

P-#####

  • P- = prefix for product

  • = running number

E-#####

  • E- = prefix for equipment

The number of # determines how many digits the number will have (with leading zeros if needed).


3. Start number

This is the first number in the series:

  • Article starts at 104

  • Product starts at 1

  • Equipment starts at 1

The system will then automatically increase this number for each new entry.


⚙️ How it works in practice

When you create a new record:

  • ProdSys identifies the correct Type

  • Reads the Number setup

  • Uses the next available number from Start number / running number

  • Generates, for example:

    • ART0104-RR

    • P-00001

    • E-00001


💡 Important to know

  • Changing the setup only affects new numbers, not existing ones.

  • You can use this to clearly distinguish between different types in the system.

  • Structured numbering makes reporting and searching easier.
