Permissions Page in ProdSys
The Permissions Page in ProdSys allows administrators to manage user roles and access rights for different modules and features within the system. It’s a critical tool for maintaining security and ensuring that employees can access only the areas of the system necessary for their roles. Here's how to navigate and use the Permissions Page:
Step 1: Access the Permissions Page
From the main menu, navigate to the System section.
Click on Permissions to open the permissions management screen. Here, you will see a list of all user roles, such as Admin, Kontor, and Produksjon, displayed across the top of the page.
Step 2: Understanding the Layout
Left Sidebar: On the left side, you will find a list of modules, such as Orders, Articles, Economy, Logistic, and more. Each module contains specific functionalities that users can access.
Top Columns: Each user role (e.g., Admin, Kontor, Produksjon) is represented as a column at the top of the page. The rows contain permissions associated with different functionalities under each module.
Step 3: Viewing and Assigning Permissions
Modules and Features: Expand each module by clicking on the arrow to view the specific features or actions available within that module. For example, under Logistic, you will see options such as Inventory List, Stocktakes, Picklist, and Warehouses.
Permission Status:
Green Check Mark (✓): Indicates that the role has access to this functionality.
Red Cross (✕): Indicates that the role does not have access.
Empty Box: Means that the permission is available but not yet set.
Step 4: Modifying Permissions
To change the permissions for a particular user role:
Toggle Permissions: Click on the box corresponding to a feature or action for a specific role. If you want to grant access, click to select it, and a green check mark (✓) will appear. To remove access, deselect it to show a red cross (✕).
Apply Role-wide Changes: If you want to apply changes to all features under a module for a specific role, you can set permissions across the entire module by clicking the box at the module level.
Step 5: Adding New Roles
To create new roles with customized permissions:
Click the Plus (+) button at the top-left of the page.
Name the new role (e.g., “Sales” or “Warehouse Manager”).
Select the permissions that this role should have by following the same steps as modifying permissions for existing roles.
Save the new role when done.
Step 6: Saving and Applying Permissions
Once you have made the necessary changes to the permissions:
Ensure that all the correct check marks (✓) or crosses (✕) are in place for each user role.
Click Save or Apply to finalize the changes. These permissions will take effect immediately, restricting or granting access based on your configuration.
Use Cases
Admin Role: Typically has full access to all modules and functionalities to manage the system.
Kontor Role: May have access to specific modules like Articles and Economy but limited or no access to Logistics.
Produksjon Role: May have full access to modules related to production and stock management, such as Picklists and Stocktakes, but no access to management-level functionalities.
Conclusion
The Permissions Page in ProdSys is a powerful tool for managing access control and ensuring that employees only have the permissions necessary for their specific roles. This ensures both security and operational efficiency by limiting unnecessary access to sensitive data or system functionalities. Always review and update permissions regularly to align with organizational changes and staff roles.
