How you can create Products, Article or Equipment

In ProdSys, creating an article, product or equipment involves entering a range of information to ensure that it is properly managed across various business processes, such as sales, logistics, inventory, and more. Here’s a step-by-step guide on how to create an article and fill out all the necessary details:


1. Access the Articles Module


2. Enter Basic Details

Fill in the basic information about the article:

  • Number: Enter the unique article number / name .

  • Description: Provide a detailed description of the article for easy identification.

  • Category: Select the relevant article category.

  • Fill out all other technical details about the article

  • Press Save button


3. Calculation

Define the cost structure and pricing:

  • Cost Calculation: Enter the articles base cost and additional costs related to production or procurement. A Product can not contain a purchase price only storage price.

  • Pricing Rules: Set up the price calculation rules that determine the selling price, such as markup percentages.


4. Sales Details

Configure sales-specific information:

  • Gross margin %: Enter the default gross margin.

  • Department: Department ownership

  • Sales Accounts: Link the article to the appropriate sales account for tracking in the accounting system.


5. Suppliers

Add supplier information:

  • Primary Supplier: Select the main supplier for the article from the supplier list.

  • Additional Supplier: Select the additional supplier with article no description and price

  • Lead Time: Set up delivery lead time for reordering.


6. Logistics

Define how the article is handled in logistics:

  • Stock item: Determines if this is to be included in logistic

  • Stocktake: Determines if this is to be included in new stocktakes

  • Qty formula: Calculation of the stock qty

  • Units: Units for different qty

  • Warehouse Location: Assign the article to specific warehouse locations.

  • Reorder Point: Define the minimum stock level before reorder is triggered.


7. Inventory

Manage inventory details:

  • Current Stock Level: Set the current stock level if already available.

  • Safety Stock: Set the safety stock level to prevent shortages.


8. Documents

Attach relevant documents to the article :

  • Technical Sheets: Upload article specifications or technical sheets.

  • Certificates: Add certificates of conformity or other compliance documents.

  • Instruction Manuals: Include user manuals or guides.


9. Orders

Link to existing or potential orders:

  • Open Orders: View current orders associated with the article .

  • Order History: Access previous orders to track performance or reorders.


10. Manufacturer

Define manufacturer details:

  • Manufacturer Name: Link the article to a specific manufacturer.

  • Part Number: Add the manufacturer’s part number if applicable.


11. Translations

Provide translations for multi-language support:

  • Language Selection: Enter article names, descriptions, and specifications in different languages for localization purposes.


12. Discounts

Apply article -specific discounts:

  • Discount Rules: Set up volume-based or promotional discounts for this article .

  • Customer-Specific Discounts: Assign special discount group to specific customers.


13. Parent-Child Relationships

Create parent-child article variations:

  • Parent article : Define if this product is part of a larger product family.

  • Child Variants: Set up different versions of the article (e.g., color, size) under a parent article.


14. Measurements

Set up article dimensions and units:

  • Dimensions: Input physical dimensions such as length, width, height etc.


15. Template

List of article templates this article is part of:

  • Product Templates: Pre defined Product package that this article is part of


16. Geolocation

Add geolocation details if the article requires location-specific tracking:

  • Geographic location: Uses Google map to edit and show location from latitude, longitude placement


17. Activities

Show all Activities this article has been connected to:


18. Article Images

Upload / link multiple article images for visual representation:

  • Primary Image: Image on top of the list

  • Additional Images: Add supplementary images showing different angles, variants, or features.


By completing these steps, you will have created a comprehensive article entry in ProdSys that is ready to be used across various business processes, from inventory management to sales and logistics.
