How to Set Up Work Schedules with Weekday Work Hours, Breaks, and Overtime Rules

Setting up work schedules in an ERP system like ProdSys ensures that employees have clearly defined working hours, break times, and overtime rules. Follow these steps to configure a work schedule:

1. Access the Work Schedule Module

2. Define Weekday Work Hours

NB! All clock times is registered with decimal number so 18:45 = 18,75

Input the standard work hours for each day of the week (Monday to Friday or other applicable days).

  • Specify the start and end times for each weekday. For example:

    • Monday: 9:00 AM to 5:00 PM insert 9 and 17

    • Tuesday: 9:00 AM to 5:00 PM insert 9 and 17

    • Continue for the rest of the week.

  • If specific days have different work hours, adjust accordingly (e.g., shorter Fridays).

    Notes:
    The start clock time is absolute and will prevent user to start time registration before the set start time. To be able to registrate hrs before normal start time, stop the time registration before normal start time and start a new registration.

3. Set Break Times

  • Define the mandatory breaks for each workday. Breaks can include:

    • Lunch Breaks: Specify the duration (e.g., 12:00 PM to 12:30 PM).

    • Short Breaks: Optional smaller breaks (e.g., 15 minutes in the morning).
      NB! The time is given in decimal so: 12:30 = 12,5

  • Ensure the break time is within compliance with labor regulations or company policies.

4. Configure Overtime Rules

  • Define the conditions under which overtime is applicable. This can include:

    • Daily limits: Specify the number of hours worked beyond which overtime kicks in (e.g., over 7,5 hrs to 10,5 hrs will create 50% overtime between this limits).

7. Monitor and Adjust

  • You can monitor employee compliance with the schedule through time-tracking reports.

  • If there are changes in company policy, holidays, or individual needs, adjust the schedule accordingly.

By following these steps, work schedules with defined weekday hours, breaks, and overtime rules can be effectively managed, ensuring clear guidelines for both employees and management.
