How to Create an Order in ProdSys

Creating an order in ProdSys is a straightforward process that involves selecting the order type, adding the customer or supplier, and defining the order details. Follow the steps below to create an order efficiently.

Step-by-Step Guide to Creating an Order

Step 1: Log In to ProdSys

  1. Log in to your ProdSys account with your credentials.

Step 2: Navigate to the Order Section

  1. Select "Order / Order List" from the side menu.

Step 3: Create a New Order

  1. Click the "+" button to create a new order.

  2. Select Order Type: Choose the type of order you want to create (e.g., purchase order, sales order).

  3. Select Customer/Supplier: Choose the customer or supplier associated with the order.

  4. Press "OK": This action will create the order with default values from the contact information.

At this stage, the order is created with standard values pre-filled based on the selected customer or supplier. You can modify these values as needed.

Step 4: Add Order Lines

  1. Click the "+" button to add order lines.

  2. A dialog box will appear to allow you to add new lines.

Adding Different Types of Articles to the Order Line

When adding order lines, you have the option to choose from three types of article categories:

  1. Products:

    • Select "Products" if you want to add a product line to the order.

    • You can search for products using free text or by filtering based on product categories and groups.

    • On the Left side it will show the Product, on the Right side will show the Product template. A Product Template is a pre configured product containing all info on order line level an all Connected Articles to be used with this Product.

    • To add a product, either double-click on the product or click "Add" from the list on the left or right side.

  2. Articles:

    • Choose "Articles" to add individual articles to your order.

    • Similar to products, you can search using free text or by article categories and groups.

    • To add an article, double-click on it or use the "Add" option from the left or right list.

  3. Equipment:

    • Select "Equipment" to add equipment-related items to the order.

    • You can perform a free text search or filter by equipment category and group.

    • Double-click on the equipment item or click "Add" from the list on the left or right to include it in the order.

Editing Order Line Details

After adding the desired items to the order, you can modify the details such as:

  • Description: Change the description of the item if needed.

  • Quantity: Adjust the number of items.

  • Price: Update the price per item, if necessary.

Editing Order Line Article Details

In the lower section of the page is the connected Articles to this Order Line.
This articles are the consumption and calculation Article needed to manufacture this product. This articles can be Material's, Hour's estimates and other calculations needed to manufacture this product.

Finalizing the Order

After adding and editing all order lines, return to the main order page by clicking on the hyperlink at the top containing the order name or by selecting "Back" in your web browser.

Sending the Order

On the main order page, you can send the order to the customer via email with order attachments.
