When creating documents in ProdSys, you have the flexibility to create new document from one or several files and then create a new document with this file attached to the document. You can either automatically create a new document number, use the file name as the document number, or use the file name as the document description. Follow these steps to start the process and select your preferred method.
1. Access the Document Creation Module
From the main dashboard or side menu, go to the Documents module.

Note: This function can be done from anywhere in the system we creates new documents.Click + New Document to start the process.
2. Upload Files
Select document type
Click the Select File(s) button to select one or more files from your device.
Once you select the files, they will appear in the upload list.
3. Choose the Document Creation Method
Select how the document number and description should be generated. You have three options:
New Document Number
Select this option to automatically generate a new and unique document number for each uploaded file.
The system will assign a sequential or system-defined number to the document, regardless of the file name.
File Name as Document Number
Choose this option to use the file name (excluding the file extension) as the Document Number.
This ensures that the document is named consistently with the uploaded file, useful for documents with existing identification standards (e.g., technical files or invoices).
File Name as Document Description
This option uses the file name as the Document Description, providing an easy reference for what the document contains.
A new Document Number will still be automatically generated by the system.
This method is helpful if you want to keep file names descriptive without using them as identifiers.
4. Confirm Document Information
Once you've selected your preferred method, press Create
The documents are created with attachment
6. Access and Manage the Documents
Once created, the document will be accessible from the Documents module.
You can download the attached files, edit the document details, or add more files as needed.
By following these steps, you can easily create multiple documents from files in ProdSys, using the flexibility of either generating new document numbers or using file names for better tracking and organization.
