How to calculate Products on orders and templates

Updated over 3 months ago

In ProdSys, a calculation is carried out by linking articles to an order line, creating a preliminary cost estimate, or a pre-calculation. This process helps you understand the costs associated with the production or delivery of a product or service, ensuring better pricing, resource management, and profitability.

Calculations can be performed on:

  • A Production Order or Customer Order

  • A Product Template: A predefined product with set pricing and a calculation

Below is an explanation of how to perform calculations in both a Product Template and within an Order.

Calculating in a Product Template

A Product Template in ProdSys represents a predefined product that includes a set price and a pre-defined calculation. This template can be used to standardize the calculation for frequently produced items or services. You can create many templates connected to one product.

Steps to Perform a Calculation in a Product Template:

  1. Create a new Product Template:

    • Navigate to the Article / Product section in ProdSys in the side menu.
      https://app.prodsys.com/#/articles/products

    • Select the Product you want to create and template for

    • Open the Action menu "three dots" in front of the Product no

    • Select "Open Variants"

    • This list will show All templates created for this Product

    • To add a New templete press + New in upper left corner

    • Automatically adds and new template

    • Fill in description qty, price etc.

  2. Add Articles to the Template:

    • Within the Product Template, locate the section for adding articles in the lower part of the screen.

    • Search for and select the articles (materials, parts, or consumables) that are required for the product.

    • Add these articles to the template. Each article added will contribute to the overall pre-calculation of the product's cost.

  3. Review and Edit the Pre-Calculation:

    • Review the list of articles added to the template.

    • Adjust quantities, prices, or descriptions as needed to ensure the calculation reflects the true costs of producing the product.
To perform and calculation of the unit price on the template Open the Action menu "three dots" in front of the Product line select Calculate price.
      Adjust the price if necessary.

    • The save is automated on all changes .

By creating a Product Template with linked articles, you establish a standard pre-calculation that can be reused every time the product is ordered or produced. This saves time and ensures consistency in pricing and cost estimation.

Calculating Within an Order

Calculations can also be performed directly within a Production Order or a Customer Order. This approach is useful when you need to create a customized calculation for a specific order rather than relying on a predefined template.

Steps to Perform a Calculation Within an Order:

  1. Open the Relevant Order:

  2. Add an Order Line:

    • Click on the "+" button to add a new order line.

    • Choose the type of order line that corresponds to the item or service you are calculating for (e.g., product, article, or equipment).

  3. Add Articles to the order line:

    • Within the order line, locate the section for adding articles in the lower part of the screen upper left corner of the article section press + New

    • Search for and select the articles (materials, parts, or consumables) that are required for the product.

    • Add these articles to the template. Each article added will contribute to the overall pre-calculation of the product's cost.

  4. Review and Edit the Calculation:

    • Review the list of articles added to the template.

    • Adjust quantities, prices, or descriptions as needed to ensure the calculation reflects the true costs of producing the product.
To perform and calculation of the unit price on the template Open the Action menu "three dots" in front of the Product line select Calculate price.
      Adjust the price if necessary.

    • The save is automated on all changes .

By performing calculations directly within an order, you have the flexibility to create tailored estimates that reflect the specific needs of each customer or production run.

Summary

Calculations in ProdSys are essential for accurate cost estimation, resource management, and pricing. By linking articles to order lines, whether in a Product Template or directly within an order, you can create detailed pre-calculations that help you better understand the costs associated with your products and services. This process ensures that you maintain profitability while delivering value to your customers.
