Step-by-Step Guide to Planning an Order in ProdSys

Planning an order effectively in ProdSys involves several steps, from setting start and end dates to allocating resources. This guide will help you navigate through each step to ensure efficient project planning and execution.

Step 1: Open the Order

  1. Log in to ProdSys: Start by logging into your ProdSys account using your username and password.

  2. Navigate to the Order List: From the main menu, go to “Orders” and select “Order List” from the submenu.

  3. Create or Select an Order: Click on the "+" button to create a new order or choose an existing order from the list to plan.

Step 2: Set an Overall Start and End Date

  1. Open the Order: Once you have selected or created an order, go to the Order Details page.

  2. Set Production Start and Production End: Enter the start and end dates for the overall order in the designated fields. These dates provide the framework for all activities within the order.

Step 3: Open Order Articles

  1. Navigate to Order Articles: Select + Left top corner of order lines list.
    Within the Order Lines page, locate the “Order Articles” section in the bottom of the form.

  2. Add or Edit Order Articles: Click "+" button to add new articles or select existing articles to edit.

Step 4: Set Sequence and Dependency Type

  1. Define Task Sequence: For each order article, define the sequence in which tasks should be executed. This helps in determining the flow of activities.

  2. Set Dependency Types: Choose the dependency type for each task (e.g., Finish-to-Start, Start-to-Start). This ensures that tasks are performed in the correct order and depend on the completion of previous tasks.

Step 5: Activate Task Sequence

  1. Activate Task Sequence: Once dependencies and sequences are set, activate the task sequence to ensure that tasks follow the defined order.
    Go to column Activity Order set the sequence of the activities from 1-xx

  2. Set dependencies: Click the Action menu "3 dots" on the grid select Recalc dependencies to apply any modifications made to the task sequence and dependencies.

Step 6: Open the Gantt Tool

  1. Return to Order Front Page: Go back to the main Order page.

  2. Open Gantt Tool: Click the Action menu "3 dots" in the bottom right of the form click on the “Gantt” button to open the Gantt chart view. This tool provides a visual representation of the project timeline and task dependencies.

Step 7: Calculate the Duration of Activities

  1. Use the Gantt Chart: Utilize the Gantt chart to calculate the duration of each task based on the dependencies and sequences set earlier.

  2. Reclac Durations: Recalc the end dates by Right Click any task or level and select "Calculate End Date", or adjust the durations of the tasks by dragging the task bars on the Gantt chart to reflect accurate timelines.

Step 8: Edit Start and End Dates

  1. Edit Dates Directly: Click on each task in the Gantt chart to open the details and edit the start and end dates as needed.

  2. Ensure Alignment: Make sure all tasks are properly aligned with their dependencies and the overall project timeline.

Step 9: Allocate Resources

  1. Assign Resources to Tasks: Click on the task or order article to open the details, then select the resources (team members, equipment) to allocate to each task.

  2. Save Resource Allocation: Click “Save” to confirm the allocation of resources.
