The Gantt tool in ProdSys is a powerful project management feature that provides a visual representation of your order's timeline, tasks, dependencies, and resource allocation. This user manual will guide you through the key functionalities of the Gantt tool and how to use it effectively to manage your projects.

Accessing the Gantt Tool

  1. Log in to ProdSys: Start by logging into your ProdSys account with your username and password.

  2. Open Gantt Tool:

    1. Open specific Order: From the main menu, select “Orders” and then choose
    “Order List” from the submenu. Open the order. Open the Action menu in the bottom right of the order form select Gantt

    2. Open all Orders: From the main menu, select “Planning” and then choose “Order Gantt” from the submenu. Select one or more order from the orders list at the top

Overview of the Gantt Tool Interface

  • Timeline Bar: Located at the top, this bar shows the time scale (days, weeks, months) for the project.

  • Gantt Chart Area: The main section of the screen shows a graphical representation of tasks, dependencies, and timelines.

  • Bars colors:
    Order: Green Bar
    Order line: Blue taskbar
    Order article task : Yellow bar

  • Task Bars: Represents each task's duration. You can drag and drop these bars to adjust start and end dates.

  • Dependency Lines: Lines connecting task bars indicate dependencies between tasks (e.g., Finish-to-Start).

Step-by-Step Guide to Using the Gantt Tool

Step 1: Adjust the Time Scale and the page layout

  • Zoom In/Out: Use the zoom buttons +/- on the top left of the page or hoover over the gantt Press Ctrl + Scroll with your mouse to adjust the time scale (daily, weekly, monthly) for better visibility of the project timeline.

  • Adding fields: Select column chooser and select column to show in the grid

  • Show / Hide levels:
    Press arrow up to hide all sub levels.
    Press arrow down to expand all sub levels

  • Save Layout: Press Save Icon

  • Restore Layout: Press back arrow

  • Select Gantt mode:
    Select from dropdown:
    Gantt mode: Shows all levels
    Orders only : Shows only Orders bars
    Orders lines only: Show only Order line bars
    Order articles only: Show only order articles
    Orders list: Select from all open orders.

  • Show materials: Shows also Material article from the order

  • Refresh icon: Refresh the page after changes

Step 2: Edit Tasks

  • Edit Existing Tasks: Double-click on any task bar in the Gantt chart to open the task details panel. Modify details like start/end dates, estimated hours, and assigned resources as needed.

Step 3: Set Dependencies Between Tasks

  • Link Tasks: Click on the end of a task bar, drag the line to the start of another task bar to create a dependency (e.g., Finish-to-Start). A dependency line will appear between the two tasks.

  • Edit or Remove Dependencies: Right-click on a dependency line to change the dependency type or delete the link.

Step 4: Adjust Task Durations

  • Drag Task Bars: Hover over the ends of a task bar until the cursor changes, then click and drag to adjust the task duration directly on the Gantt chart.

  • Update Task Durations Manually: Double-click on a task bar, enter the desired duration, and save the changes.

  • Calculate Task Durations: Right-click on a task bar, select Calculate end Date

Step 5: Allocate Resources to Tasks

  • Assign Resources: Click on a task bar, then open the task details panel to assign team members, equipment, or other resources. Select resources from the dropdown list and save the allocation.

Step 6: Monitor Progress and Make Adjustments

  • Track Progress: The Black line indicate the reported progress reported from production on each task.

  • Reassign Tasks or Adjust Timeline: If there are delays or changes in resource availability, adjust the timeline by dragging task bars or changing dependency types to reflect the new project plan.

Step 7: Save and Export Gantt Chart

  • Save Changes: All changes made in the Gantt tool are automatically saved.

  • Use Dependencies to Manage Workflow: Set clear dependencies between tasks to ensure that the project flows smoothly and tasks are completed in the correct order.
