Step-by-Step Guide: Using the Article Certificate in ProdSys

In ProdSys, the Article Certificate functionality allows users to connect documents, such as material certificates, to specific articles on an order. This feature is essential for ensuring that relevant documents, like certifications or specifications, are properly linked to the ordered items, streamlining document management and improving traceability. Follow the steps below to learn how to use this feature efficiently.

Step 1: Access the Article Certificate Screen

  1. Log in to your ProdSys account using your credentials.

  2. Navigate to the Article section and select Article Certificates from the menu. Alternatively, you can directly access the page through the URL:

Step 2: Select the Order and Order Line

Once in the Article Certificate screen, you will see the fields to connect the document to an article:

  1. Order: Begin by selecting the relevant order from the dropdown menu. This will filter the order lines related to that order.

  2. Order Line: Select the specific order line that corresponds to the article for which you want to attach a document. This ensures the correct item is targeted.

Step 3: Choose the Article

  1. In the Order Article field, select the article to which the document will be attached. This is typically the item in the order that needs to be linked with a certificate or related document.

Step 4: Input Serial Numbers

  1. Enter the Serial Number From and Serial Number To values if your article has serial numbers. This is often necessary for traceability in industries such as manufacturing or electronics.

Step 5: Select the Document

  1. Alternative 1 : In the Document field, click on the dropdown to select the relevant document from the list of available documents. This document could be a material certificate, technical specification, or any other important documentation.

  2. If the required document is not listed, ensure it has been uploaded to the system under the Document Management section.

Step 6: Add the Document to the Article

  1. Once all the necessary information is entered, click the Add button. This will link the selected document to the specified article on the order.

Step 7: Verify Document Attachment

After the document has been attached, you can see the article and its related document in the list on the right side of the screen:

  1. The Article column shows the name of the item.

  2. The Qty column indicates the quantity of the article.

  3. The Pos nr column indicates the position number of the item in the order.

  4. The Document column shows the attached document, and the Document Files column will show a clickable link to the actual file (e.g., PDF files).

Step 8: Review and Manage Attached Documents

  1. Review all attached documents in the list to ensure accuracy.

  2. You can always revisit this screen to add more documents or modify existing attachments if necessary.
