Managing Inventory in ProdSys

Updated over 3 months ago

Introduction

In ProdSys, it is possible to manually correct storage quantities directly from the Inventory list. This feature allows users to adjust quantities at existing warehouse locations or assign new locations for stock items. These adjustments are essential for accurate stocktaking and inventory management. Any changes made will automatically be saved under the latest stocktake as corrections, ensuring full traceability, and can be reverted if necessary.

Purpose of Manual Correction
The primary purpose of manual quantity correction is to maintain accurate stock levels when discrepancies occur. These discrepancies can arise from misplaced items, wrong entries, or damaged stock. By manually adjusting the storage quantity, businesses can ensure their inventory is up to date and avoid stock shortages or overstocking.

How to Perform Manual Corrections in the Inventory List

Step 1: Access the Inventory List
Login to ProdSys and navigate to:
Logistic > Inventory List.
Link to Inventory list

In the Lower left corner, you will find the storage location overview, where all current quantities for each article at different locations are displayed.

Step 2: Change Quantity on Existing Locations

  • Select the location where you want to make the quantity correction.

  • Enter the new quantity for the selected location in the Qty field.

  • Press Enter to confirm the change.

Step 3: Add New Locations

  • Click the "+" button to create a new location if the item needs to be stored in a new warehouse location.

  • Fill in the Warehouse, Location, and Qty fields to register the item at the new location.

Step 4: Review and Confirm Changes

After making any changes to quantities, they will automatically be saved as corrections in the latest stocktake. These corrections can be reviewed later in the stocktake history.

Reverting Corrections
If needed, manual corrections can be reverted by accessing the stocktake history. Navigate to the latest stocktake, find the correction entry, and choose to undo or edit the correction.

Best Practices for Manual Corrections

  • Always verify the physical stock before making manual adjustments.

  • Keep track of corrections in the stocktake history to ensure that all adjustments are accurate and justified.

  • Regularly review stock levels and make manual corrections to ensure ongoing accuracy.

Conclusion

Manual correction of storage quantities in ProdSys is a straightforward process that allows businesses to maintain accurate stock levels in their warehouses. Whether adjusting existing quantities or adding new locations, these changes ensure that your inventory is properly managed. The system's ability to track and revert corrections provides full flexibility and transparency in your inventory management process.
