The Time Report in ProdSys is an essential tool for employees to track their work hours, time bank, holiday balances, and different types of logged work hours. Below is a step-by-step guide to understanding and using the Time Report effectively.

1. Accessing the Time Report

  1. Log in to ProdSys.

  2. Navigate to the Time Management > Time Report section from the dashboard or main menu.

  3. Select the date range for the period you want to view by setting the "From" and "To" dates at the top of the page.

2. Understanding the Time Report Table

The main section of the Time Report provides a detailed breakdown of your work for each day within the selected period. The table includes the following columns:

  • Date: Displays the date for each workday in the selected period.

  • Planned Hours (Plan hrs): The number of hours you are scheduled to work each day.

  • Start Time and End Time: The exact time you started and finished work each day. Different colors indicate work types (e.g., regular hours, overtime, sick leave).

  • Actual Hours (Actual hrs): The total number of hours worked during that day.

  • Time Bank +/-: The difference between the planned and actual hours, which affects your overall time bank.

3. Work Hours Section

On the right-hand side, the Work Hours section provides a summary of the work hours for the selected period:

  • Planned: The total number of hours you were scheduled to work.

  • Actual: The actual number of hours you worked.

  • Diff: The difference between the planned and actual hours. A positive difference means you worked extra hours, while a negative difference means you worked fewer hours than planned.

4. Time Bank Section

The Time Bank section shows the status of your time bank:

  • Period Start Balance: The balance of your time bank at the start of the period.

  • Period Balance Change: Shows how much time has been added to or deducted from your time bank during the period.

  • Period End Balance: The balance of your time bank at the end of the selected period.

  • Current Balance: Your total time bank balance, which includes hours carried over from previous periods.

5. Holiday Section

The Holiday section displays your holiday status:

  • Holidays Remaining: The total number of remaining holiday days you have.

  • Holidays Not Approved: The number of holiday days you have requested but have not yet been approved.

6. Hours per Work Type Section

The Hours per Work Type section provides a detailed breakdown of how your time has been categorized during the selected period:

  • Normal Time: The regular working hours.

  • Overtime (50% and 100%): The hours worked beyond your scheduled hours, categorized by overtime rates.

  • Sick Leave: Hours logged for sick leave, if applicable.

  • Flex Withdraw: Hours taken from your time bank to balance underworked days.

This section gives you an accurate breakdown of how your total working hours are distributed across different types of work and leave.

7. Monitoring and Adjusting Your Time Bank

Regularly check your time bank to ensure you have the right balance of hours. If you find any discrepancies between your planned and actual hours, speak with your manager or HR to clarify or adjust your logged hours.
