Absence Registration in ProdSys

The Absence Registration Form in ProdSys is designed to allow employees to efficiently record various types of absences, such as holidays, sick leave, or time withdrawals from the time bank. This feature provides a streamlined way for employees to manage and document their absences directly in the system.

How to Register Absence in ProdSys

  1. Accessing the Absence Registration Form

    • Navigate to Time Management > Absence in the menu

    • A calendar view will appear, showing existing absences and time registrations.

    • Select a date or click on the "+" button at the bottom right corner to add a new absence.

  2. Selecting the Type of Absence In the pop-up window, you will see several options for the type of absence:

    • Absence: General leave or personal time off.

    • Holiday: Record when you're taking scheduled vacation time.

    • Sick Leave: Use this option if you're logging time off due to illness.

    • Sick Leave Short: For shorter sick leave periods.

    • Time Bank: Withdraw time from your time bank to adjust for underworked periods.

  3. Time Code

    • Choose the appropriate Time Code from the dropdown menu that best describes your absence. This could be different for each organization and can be customized according to company policies.

  4. Start and End Date/Time

    • Start Date: Select the date (and time, if necessary) when your absence will begin.

    • End Date: Select the date (and time, if necessary) when your absence will end.

    • If the absence is an all-day event, you can toggle the "All day" button to activate it.

  5. Add a Note (Optional)

    • In the Note field, you can add additional information about the absence. For instance, the reason for sick leave, or additional details about time withdrawal. This field is optional but useful for keeping a clear record.

  6. Save Your Absence

    • After filling in all the required fields, click Save to submit your absence registration.


Calendar Overview

Once your absence is registered, it will appear on the calendar in the Absence section. The absence types are color-coded for easy identification, and you can hover over or click on any entry for more details. This overview helps you track your upcoming holidays, sick days, or other absences and ensures transparency for both employees and managers.


Modifying or Deleting Absences

To modify or delete an existing absence:

  • You can edit the Absence util its approved.

  • Click on the entry in the calendar that you wish to change.

  • A window will appear with the details of the absence, allowing you to edit or delete the registration.
