The Mailing List page in ProdSys allows users to extract email lists from contacts within the system. This tool is vital for creating targeted email campaigns and managing communication with customers, suppliers, and other stakeholders. Below is a step-by-step guide to using the Mailing List page to extract contact data.


Step 1: Access the Mailing List Page

  1. From the Contacts menu on the left-hand side, select Mailing list.

  2. The system will open a table displaying all available contacts based on the current filter and search settings.


Step 2: Using Filters to Refine Your Contact Search

  1. The table displays columns such as Name, Industry, Customer category, Contact type, Email, and more.

  2. Use the filter icons at the top of each column to narrow down your contact list. For example, you can filter by:

    • Supplier: Filter contacts that are suppliers.

    • Customer category: Select categories like large or small customers.

    • Language: Choose contacts by their preferred communication language (e.g., EN for English, NO for Norwegian).

    • Contact type: Filter between persons and companies.


Step 3: Selecting Specific Contacts for Email Extraction

  1. To the left of each contact, there is a checkbox. Tick the checkbox for each contact you wish to include in your email list.

  2. Alternatively, you can use the Show All button at the top to select all contacts that fit your filtered criteria.


Step 4: Customizing Columns Using the Column Chooser

  1. On the right-hand side of the page, click the Action Menu (three vertical dots).

  2. Select Column chooser to customize the displayed fields.

  3. Add or remove columns such as Position, Industry, or Contact name based on the information you want to extract.

  4. Adjust the view to display only the necessary columns before exporting.


Step 5: Exporting the Mailing List

  1. After selecting the desired contacts, click the Action Menu again in the top-right corner.

  2. Choose between:

    • Export all data to Excel: Exports the entire table, including all visible fields, into an Excel format.

    • Export all data to CSV: Exports the data into a CSV file, which is useful for importing into email marketing platforms or other systems.


Step 6: Saving and Reusing Layouts

  1. Once you have customized your view and selected the columns and filters you need, you can save the layout.

  2. Click Layout in the Action Menu to save the configuration.

  3. This allows you to quickly reload the saved layout the next time you need to generate a mailing list with similar criteria.
