Keeping track of internal tasks and hours is crucial for optimizing efficiency, resource allocation, and understanding internal operating costs in a business. ProdSys allows companies to create internal orders to register and monitor internal work processes such as maintenance, training, and other administrative tasks. By using this functionality, you can easily record internal hours for specific activities and departments, providing valuable insights into resource usage and cost management.
Steps to create an internal order in ProdSys
Create a new order:
Go to the "Orders" module from the main menu.
Select "New Order" to create a new order.
Select your own company as the customer.
Add order lines for various internal tasks:
Enter the start and end date of the order. This will release it for time registration and determine its position in the list based on the start date on the lines.
Open the order lines.
Add a product to the order line, e.g., Hours.
Under the order lines, add descriptions for the various internal activities. Examples of internal operations can include:
Machine maintenance
Employee training
Internal meetings and projects
Administrative tasks
This allows you to differentiate between the various internal tasks and gain better insight into which activities require the most resources.
Add items for the different workstations:
To keep track of where the hours are being used, you need to add items for the various workstations that will log hours against this task. This can be useful for allocating costs to the correct department or machine. In the station progress screen, this order will appear for the stations that are included in the order line.
Examples of items can be:
Workstation 1: Assembly
Workstation 2: Saw
Workstation 3: Administration
Benefits of using internal orders for time registration
Better resource management: By recording the time spent on internal activities, you can gain better insight into how internal resources are being utilized. This allows you to adjust resource allocation and improve efficiency.
Cost awareness: With an internal order, you can more easily calculate the costs associated with internal activities. This is useful for understanding how much time and resources are spent on non-productive tasks.
Clearer reporting: By having a structured way of registering internal hours, management can more easily report on internal work processes. This can provide a basis for strategic decisions regarding efficiency and improvements.
Easier tracking of internal projects: With internal orders, the company can better keep track of internal projects and ensure they are completed on time and within budget.
By following these steps, companies can easily manage internal processes in ProdSys and use the data to optimize operations and reduce internal costs.
