Time Management Reports

At the end of each month, Finance, HR, or bookkeepers need to export the time management data for payroll purposes. This can easily be done with Shapes' pre-created time management template.

There are two options to access your time management data:

  • Super Admins can access the data through the Dashboard

  • All Admins with access to time management data (or Super Admins) can access these reports in the people directory

Dashboard: Add your reports

  • Select "Add Widget" button -> "Report"

  • Here you will see:

    • Employee Change Report - maintain an audit trail of employment and compensation modifications

    • PTO Requests - view all employee PTO requests, their duration, and approval status

    • Time Management Summary (days or hours) - summary of days off, days & hours worked for each employee

    • Time Management Summary Over Time - summary of how many days an employee was away day by day

You can customize the dates of interest and choose to either "Add Report" or "Export" directly.

Alternatively, all Admins with access to time management data (or Super Admins) can access these reports by going to the people directory -> "Time Management", and then clicking "Reports" on the top right.

You'll be able to export the reports for all payroll purposes here too.

Note that Time Management reports provide insights into how many additional hours an employee worked on a daily or monthly basis.

Time Away Balances Report

The Time Away Balances Report is available through the time management people view reports.

The report shows a list of employees with all their reasons' balances in one row for a specific date. You can filter and export the report to a CSV or Excel file.

  • Any Super Admin or Admin with permissions can access the report through the time management people view reports located near the search bar.

  • You can see the current balance (without future balance that could affect it).

  • The time filters apply only to active employees in the timeframe.

Time Away Policy Assignments Reports

Also available through the time management people view reports, these reports enable you to:

  1. See exactly which employees are assigned to which policies

  2. See how many employees are assigned to which policy.

You can export the reports to CSV or Excel.
