TeamTailor ATS Integration

Integrating Shapes with TeamTailor allows you to remove all the manual steps of importing your new hire into Shapes and removes the risk of human error.

Partner Connection

Shapes is a TeamTailor Partner. When someone is hired in TeamTailor, they're created in Shapes automatically — job title, team, office, and contact details filled in, and the employee is marked Pending Arrival. No CSV, no manual re-entry.

How to connect TeamTailor to Shapes

All Super Admins can integrate in 3 simple steps. Please note that setting up the integration is only available for those with permissions at the Super Admin level, or admins that have been granted permission to manage integrations

  1. Enter Shapes' Account Settings -> Integrations -> TeamTailor. click Connect. Shapes shows one Connection token — click Copy and keep it on your clipboard. This token is what tells Teamtailor which Shapes account the hires belong to.

  2. Turn on Shapes in the Marketplace
    Switch over to Teamtailor. Go to Settings → Integrations → Marketplace activations, find Shapes, and activate it. That makes the Shapes trigger available to add to your jobs.

  3. Add the “Create employee” trigger to a job
    ​
    Open a job and its pipeline. On the stage that means “hired” for you (for a quick test, any stage will do), add the Shapes Create employee trigger. This is the part that fires whenever a candidate reaches that stage.

  4. Paste the connection token

When you add the trigger, Teamtailor shows a small Shapes form with one field: Shapes connection token. Paste the token you copied in step 1 and save.

5. Hire a test candidate

Move a test candidate into the stage the trigger sits on (or add one there). That's the moment Teamtailor sends the hire to Shapes. Teamtailor gives you a few seconds to cancel — leave it alone and it runs.

6. Check it worked

On the candidate's Activity in Teamtailor you'll see “Candidate sent to Shapes”, and then a result coming back from Shapes. Over in Shapes, the person shows up under People as a new Pending Arrival employee, with their job and team filled in.

From now on, any employee that is hired in TeamTailor will automatically be added to Shapes.
