Why Use Shapes for Monthly KPIs and Weekly 1:1s?
Shapes serves as a single source of truth. If an employee's manager changes, the new manager can access all historical KPI and one-to-one data - ensuring continuity and informed performance discussions.
Step 1: Set Up Custom Fields
To start, you'll create custom fields where monthly and weekly data can be stored.
Go to Account Settings > Employee Fields.
Create a new tab and name it (e.g., Monthly KPIs).
Within the tab, create Groups (e.g., May 2025).
Add Fields within each group:
Due Date (Date)
Achievements (Long Text)
Challenges (Long Text)
Goals For Next Month (Long Text)
For weekly 1:1s, create fields like Week 1, Week 2, etc.
These groups can be duplicated month-to-month to maintain consistency.
Step 2: Configure Field Permissions
By default, all custom fields are hidden. You'll need to configure who can view or edit them.
For Employees:
Create a new Permission Role for employees.
Under the Monthly KPIs tab:
Change the group permission from Hide to View.
This allows employees to see, but not edit, their own performance data.
For Managers:
Create a Permission Role for managers.
Under the Monthly KPIs tab:
Change the group permissions from Hide to Edit.
This allows managers to update fields during reviews or 1:1s.
Step 3: Build Dashboards for Tracking
Custom reports allow you to track employee progress over time.
Go to the Dashboards section.
Click Create New Dashboard and name it (e.g., Monthly KPIs).
Add a Widget and select Custom Report.
Choose the relevant fields to display e.g.
First Name
Last Name
Due Date
Achievements
Challenges
Goals for Next Month
Filtering Options:
Use filters to tailor the report e.g. to specific teams or locations. This ensures you see only the data relevant to your needs.
