Time Management Use Case

Managing employee time away is easy with Shapes. This guide will walk you through the process of booking, approving, tracking, and exporting time away for payroll purposes.

1. Booking Time Away

Employees can request time away directly from the Homepage:

  1. Click the Book Time Away button in the center of the homepage.

  2. Select the time away reason.

  3. Choose the date range for the time away.

  4. Add an explanation and attach any relevant files (optional).

  5. Click Save.

Once submitted, the request will be sent to the manager for approval if this is set up in your company policy.

2. Approving Time Away

Managers receive notifications for new time away requests via:

  • Email

  • Slack (if integrated)

To approve or deny requests:

  1. Click the link in the notification or go to Assigned Tasks in the platform.

  2. Filter tasks by type: Time Away.

  3. Locate the relevant request and click Approve or Deny.

Approved requests are automatically tracked in the system.

3. Tracking Time Away

To review time away records:

  1. Go to the Time Management app.

  2. Open any time management summary to view time away by reason.

For consolidated reporting:

  1. Click on the Reports tab.

  2. Choose the time-away format (days or hours).

  3. View a summary over time, including:

    • Type of leave

    • Employee name

    • Dates of leave

Reports can be exported to CSV or Excel and customized with filters such as:

  • Job role

  • Team

  • Office location

  • Date range

4. Accessing Time Away Reports via Dashboard

  1. Go to Dashboards on the left menu.

  2. Click Add Widget > Report.

  3. Select one of the following:

    • PTO Requests

    • Time Away Summary

    • Time Management Summary (days or hours)

You can apply the same filters and export options from the dashboard. Reports added to your dashboard are easy to locate for future use.
