Use the Dynamic Export SFTP integration to securely send your Shapes data to your own SFTP server. This allows automated delivery of export files to a remote destination using the Secure File Transfer Protocol (SFTP), a secure way to transfer files over SSH.
Before you begin
Ensure you have access to an SFTP host (hostname, username, password or SSH key).
Confirm the port your SFTP host uses (default 22).
Ensure you have permissions to upload files to your SFTP destination.
Step 1 — Open the Dynamic Export Setup
In Shapes, go to AccountsSettings → Integrations → Dynamic Export.
Click Connect to start setting up a new SFTP destination.
Step 2 — Copy SSH Public Key
The Dynamic Export integration uses an SSH public key for secure authentication.
In the SSH public key field, click Copy to copy the key to your clipboard.
This is the key you’ll add to your SFTP server’s authorized keys so Shapes is allowed to upload files.
If your server requires password-based authentication instead, skip adding the SSH key and use a username/password.
Step 3 — Add Your SFTP CredentialsComplete the SFTP connection form:
Field | What to enter |
SFTP host | Your SFTP server hostname (e.g., sftp.yourprovider.com) |
SFTP username | The username configured on your SFTP server |
SFTP password | Your SFTP password (leave blank if using SSH key only) |
Port (optional) | Your SFTP port (default is 22) |
Step 4 — Save and Test Connection
Once all fields are filled out, click Connect.
Shapes will attempt to connect to your SFTP host to verify the credentials.
Step 5 — Configure Your Export Report
After successfully connecting:
You will start receiving the CSV esports once a day with the default set of fields:
First name
Last name
Work email
In order to request a custom export format with an expanded set of fields, lease reach out to your Customer Success Manager. Custom reports can include employee data & Time Off requests.
Custom file naming and preferred destination folder can be also requested via your CSM/or support@shapes.co
Tips & Troubleshooting
If the connection fails:
Check your host name and port.
Confirm SSH key or password is correct.
Ensure your server allows connections from Shapes.
If Shapes cannot connect, ask your IT team to whitelist IP: 44.205.116.249 to ensure the server allows inbound SFTP connections from Shapes..
SSH vs. Password:
If your SFTP host supports SSH public key authentication, adding the SSH public key ensures secure and password-less uploads. Otherwise, provide a password. (SSH uses the Secure Shell protocol to encrypt your transfer.)
Permissions:
Make sure the target folder on your SFTP server allows write permissions for the specified user.
