Xero integration

The Xero integration allows you to automatically sync time-off data from Shapes to Xero for payroll processing.

Region-locked: this integration creates native Leave Applications in Xero's payroll product, which is only available for AU, NZ, and UK organizations. If your Xero organization is outside those regions, the payroll module won't be enabled and this sync won't apply.


Step 1: Connecting to Xero

  1. In Shapes, go to Account settings > Integrations > Xero and click Connect.

  2. You will be redirected to Xero to log in to your account.

  3. After logging in, select the organization in Xero that you want to connect.

    You can add additional organizations later in the process.

Step 2: Mapping policies

Once the organization is selected, you will be redirected back to Shapes to map your time-off policies.

Managing your organizations

After connecting your first organization, you can manage your connections directly from the integration settings.

How the Sync Works

  • Booking created, updated, or cancelled in Shapes creates or updates a Leave Application in Xero — with leave type, start/end date, and hours or units.

  • This isn't a one-shot send: updates and cancellations made in Shapes keep the Xero Leave Application in sync afterward too.
