The HiBob integration allows you to bulk import employee files from HiBob into Shapes.
Before activating the integration, please verify the following and confirm with your Customer Success Manager (CSM). The integration is initially disabled to ensure the setup is correct before syncing files.
Before You Begin the Sync
Please make sure the following requirements are met:
File field names match folder names
The file fields configured in Shapes must have the same names as the file folders in HiBob
Folders are flattened
HiBob folders must be on a single level. Any files currently stored in subfolders must be moved directly into the first-level folder.
Employee emails match
The employee email addresses in Shapes must match the employee email addresses in HiBob.
Service user access to all employee files in Bob
1. Create service user
Go to Service Users
Create or select one (get ID + token)
2. Create permission group
Go to System Settings → Permission groups
Create group (e.g. API – Files Access)
Add the service user to it
3. Enable file access
In the group → Features / Documents
Grant access to:
Shared folders
Confidential folders
Custom folders (if used)
4. Enable employee data access
Go to People’s data
Grant View all employees for key sections:
Basic info
Employment
Lifecycle
5. Include terminated employees (important)
Go to Access data for
Choose Select people by condition
Remove filter: Lifecycle status = Employed + Terminated
➡️ This allows access to both active + terminated employees
Activate the Integration
Once you have verified the steps above, reach out to your Customer Success Manager (CSM). They will activate the HiBob integration for your account.
Complete the Data Sync
After the integration is activated and your files are ready to be migrated:
Go to Shapes → Account settings → Integrations.
Find the HiBob integration.
Click Connect to start the data sync.
