TeamTailor Partner API Setup Guide

Step-by-step partner-side (Teamtailor) instructions for connecting Shapes via Partner Mode.

This is the partner-side (Teamtailor) setup guide for connecting Shapes through the newer, simpler Partner Mode integration — a single connection token instead of manually creating an API key and webhook.

Overview

Shapes connects to Teamtailor through a partner API integration. Once set up, any candidate who reaches your "hired" stage in Teamtailor is sent to Shapes automatically and appears as a new employee — no manual export or import required. Setup is a one-time process per Teamtailor account.

Before you start

  1. You'll need Super Admin (or equivalent) access to both your Shapes account and your Teamtailor account.

  2. Your Shapes account needs to be in Partner Mode. You'll know it is if, in step 1 below, Shapes shows you a single connection token to copy. If instead you're asked for a webhook URL, a signature key, and an API key, your account isn't in Partner Mode yet — contact Shapes support and they'll enable it before you continue.

Setup steps

  1. Copy the connection token (in Shapes)

    In your Shapes account, open Account Settings -> Integrations -> Teamtailor and click Connect. Shapes shows a single Connection token — click Copy and keep it on your clipboard. This token tells Teamtailor which Shapes account a hire belongs to.

  2. Turn on Shapes in the Marketplace (in Teamtailor)

    In Teamtailor, open the Marketplace (sometimes listed under Apps or Integrations), find Shapes, and enable it for your account. This makes the Shapes trigger available to add to any job's hiring pipeline in the next step.

  3. Add the "Create employee" trigger to a job (in Teamtailor)

    Open a job and its pipeline. On the stage that means "hired" for you (for a quick test, any stage will do), add the Shapes Create employee trigger. This is the part that fires whenever a candidate reaches that stage.

  4. Paste the connection token (in Teamtailor)

    When you add the trigger, Teamtailor shows a small Shapes form with one field: Shapes connection token. Paste the token you copied in step 1 and save. If Teamtailor rejects it, go back to step 1 and copy a fresh one — a token only works for the account it came from.

  5. Hire a test candidate (in Teamtailor)

    Move a test candidate into the stage the trigger sits on (or add one there). That's the moment Teamtailor sends the hire to Shapes. Teamtailor gives you a few seconds to cancel — leave it alone and it runs.

  6. Check it worked (Teamtailor + Shapes)

    On the candidate's Activity in Teamtailor you'll see "Candidate sent to Shapes", and then a result coming back from Shapes. Over in Shapes, the person shows up under People as a new Pending Arrival employee, with their job and team filled in. If you see that, the integration is working — every future hire on that stage now flows through on its own.

If something looks off

Most snags are one of these. The first two you can fix yourself; the last two mean you should contact Shapes support.

  1. Teamtailor rejects the token, or the hire never shows up in Shapes.

    Copy a fresh token from Shapes (step 1) and paste it again. A token only works for the account it was copied from.

  2. You added the trigger but nothing happens.

    That's expected until a candidate actually reaches the stage. Move a test candidate into it (step 5).

  3. Step 1 shows a form asking for a webhook URL, signature key and API key instead of one token.

    Your Shapes account isn't in Partner Mode yet. Contact Shapes support to enable it, then start again.

  4. Teamtailor says "Failed to fetch config from partner" when you add the trigger.

    Teamtailor couldn't reach Shapes. Contact Shapes support — this isn't something you can fix from the UI.
