Files Management

This article explains how to create and use the field labelled 'File'

Storing files in Shapes is fundamental to ensuring that it is your single source of truth for all employees. This can be done quickly and easily through the Employee Fields, meaning that the files are accessible to all users with the relevant permissions (more about permissions in this article.)

Follow the steps here to add a new File Field to the employee view. For example, you can add 'Contract Documents' in the 'Work' tab.

Once you have added the file, importing the documents is as simple as dragging and dropping the relevant file into the field or choosing from your computer.

You can upload the files in bulk and store multiple files in one place.

You can click on the file to see a preview of it. To download the file, click on the download icon on the top right of the screen.

You can easily review all files that were uploaded into the employee's profile under the File Center tab. At this stage, new files cannot be added directly to this area - files need to be uploaded through the employee fields first, then they'll appear here for easy access.

Which files can you upload?

You can upload the following type of files:

  • Image

  • PDF

  • CSV

  • EXCEL

  • DOCX

  • DOC
