Navigation Overview

A high-level introduction to SubBase navigation and how the platform is organized.

This article explains how SubBase is laid out, what each main area represents, and how users move between projects, orders, materials, and account tools.


Purpose

Navigation provides the structural backbone of SubBase, helping users understand where work lives and how different parts of the platform connect.


Overview

SubBase uses a consistent blue navigation bar across the top of the platform to organize all procurement activity. This navigation stays visible as you move through the system so you can switch context quickly without losing your place.

Users typically land here when first getting oriented in SubBase. Rather than learning the platform one workflow at a time, navigation helps users understand how projects, orders, materials, and financial activity relate to each other at a high level.

What appears in the navigation may vary based on role and permissions, but the overall structure remains consistent across accounts.


Who Can Do This

All SubBase users interact with the navigation.

Visibility of specific tabs and menu items depends on role, permissions, and company configuration.


Before You Start

Before navigating SubBase, it helps to understand:

  • Most activity in SubBase is organized around projects

  • Navigation reflects access, not just features

  • If something is not visible, it is usually permission-related rather than missing


Top Navigation Layout

When you open SubBase, the blue navigation bar gives you access to the core areas of the platform. Each tab represents a different type of work rather than a single action.

Projects

Shows all projects you have access to and acts as the entry point for nearly all procurement activity. Projects control visibility across the rest of SubBase.


Dashboard

Provides a high-level snapshot of order activity and delivery status across one project or all projects. This is designed for awareness rather than execution.


Calendar

Displays material requests, orders, and deliveries on a timeline so teams can understand what is happening when.


Orders

The system of record for material requests, RFQs, and purchase orders. This is where procurement workflows are tracked end-to-end.


Materials

Shows ordered and requested materials at the line-item level across projects, supporting visibility, analysis, and reporting.


Commitments

Displays vendor commitments tied to pricing, quantities, and budgets before invoices arrive.


Invoices

Centralizes invoice intake, review, reconciliation, and approval workflows connected to orders and deliveries.


Inventory

Provides visibility into warehouse stock and internal fulfillment when inventory is enabled for the company.


Global Navigation Controls

SubBase Logo

The SubBase logo appears on the left side of the blue navigation bar. Selecting the logo returns you to your default landing page, which is defined in your personal User Settings and may vary by role.

In addition to the main tabs, the navigation bar includes system-wide controls that are always available.


+ (Quick Create )

The + (Quick Create) button lets users start common actions from anywhere in the platform. Available options depend on role and permissions.


Notifications

The notifications icon opens your activity feed, showing updates related to projects, orders, and invoices you are involved in.


User Profile Menu

Your name in the upper-right corner opens the User Profile Menu, which provides access to account-level areas such as:

  • Vendors

  • Material Database

  • Company Settings

  • Integrations

  • User Settings

  • Help

This menu stays consistent regardless of which project or tab you are currently viewing.


Project Awareness Across the Platform

Many tabs in SubBase are project-aware. A project selector allows you to view information across all projects or focus on a single one.

The project selector appears consistently across areas such as:

  • Dashboard

  • Calendar

  • Orders

  • Materials

  • Commitments

  • Invoices

What appears in these selectors always mirrors your project access. If you cannot see a project in navigation, you will not see its data elsewhere in SubBase.


Best Practices

  • Start with Projects to understand what work you have access to

  • Use Dashboard and Calendar for visibility before diving into details

  • Treat navigation as context switching, not workflow execution

  • If something is missing, check project access before assuming it is unavailable
