Projects Overview

View, organize, and manage the projects that power all procurement activity in SubBase.

This article explains what the Projects tab is, what information lives at the project level, and how projects connect and control workflows across SubBase.


Purpose

Projects play a central role in SubBase by acting as the foundation for all procurement activity, access control, and visibility across the platform.


Overview

The Projects tab is where all work in SubBase begins.

Every material request, RFQ, order, delivery, commitment, and invoice belongs to a project. The Projects tab gives you a centralized place to view the projects you have access to and understand what activity is happening on each one at a high level.

Users typically land on this page to orient themselves, check overall project activity, or confirm which projects they can work in. Projects also determine what appears in project selectors throughout SubBase, ensuring users only see data tied to the work they are allowed to access.


Who Can Do This

Access to the Projects tab depends on role and company configuration.

  • This tab is typically available to Admins and Purchasers

  • Other roles may have limited or no access based on how permissions are set up

If you do not see the Projects tab, your role or group assignment likely restricts access.


Before You Start

Before using the Projects tab, it helps to understand a few fundamentals:

  • Projects must exist before orders, RFQs, or material requests can be created

  • Project visibility is controlled by project groups

  • Users only see projects they are assigned to through groups or direct access

  • Inactive projects remain visible for history but cannot be used for new activity


What You Can See and Do in the Projects Tab

The Projects tab is designed to give you a clear, high-level snapshot of your work.

When you open this page, you can:

  1. View all projects you have access to

  2. Toggle between Active and Inactive projects

  3. Switch between grid view (project cards) and list view (table format)

  4. Search for projects by name or ID

  5. Quickly assess activity without opening individual records

Each project card or row surfaces key indicators and controls directly on the page.

You can see:

  1. An eye icon that lets you add or remove yourself as a project watcher

  2. A gear icon that opens project settings, depending on your permissions

  3. Counts showing how many RFQs have been quoted

  4. Counts showing how many orders have been ordered

  5. Visibility into orders that are shipped, partially shipped, or delivered

These indicators make it easy to understand where work is complete, where materials are moving, and where follow-up may be needed.


Projects and Cross-Page Visibility

Projects act as containers that connect all procurement activity in SubBase.

Any project you see in the Projects tab will also appear in the project dropdown selector across the platform, including:

  • Dashboard

  • Calendar

  • Orders

  • Materials

  • Commitments

  • Invoices

  • Inventory Requests

Project dropdowns always reflect your access. If you cannot see a project here, you will not see its data elsewhere in SubBase.


Project Groups and Visibility

Projects are organized using groups, which control who can see what.

  • A group can contain multiple projects

  • Users assigned to a group automatically see all projects in that group

  • Groups are commonly used to organize work by division, region, or location

This structure ensures that users only see relevant projects, keeping lists and dropdowns focused and uncluttered.


Troubleshooting

I can’t find a project I expect to see

  • Confirm you are viewing Active projects

  • Make sure you are assigned to the correct project group

  • Ask an Admin to confirm your access if the project is still missing

I created a project but can’t see it

Creating a project does not automatically grant visibility. Admins must also be assigned to the project’s group or added to the project to see it.

I can see projects but can’t edit them

Only users with the appropriate permissions can edit project details. If you need changes made, ask an Admin to review your access.


FAQs

Do I need a project to place an order or RFQ?

Yes. Every order, RFQ, and material request must be tied to a project.

Can I belong to more than one project?

Yes. Users can belong to multiple projects through group assignments.

Can projects be deleted?

Projects are marked inactive to preserve historical data and reporting accuracy.


Best Practices

• Keep project group assignments up to date so users see the correct work
• Use clear, descriptive project names that are easy to recognize in dropdowns
• Regularly review project activity to spot delays or bottlenecks early
• Mark completed projects inactive to keep active lists clean and focused
