The Inventory tab gives teams visibility into physical stock held in warehouses and how that stock is requested, committed, and fulfilled in SubBase, working alongside standard purchasing workflows.
Purpose
Inventory plays a critical role in SubBase by enabling companies to manage and use their own physical stock to fulfill material needs, reducing reliance on vendor orders when inventory is available.
Overview
The Inventory tab is where companies manage internal materials and assets stored in warehouses. Instead of purchasing everything from vendors, teams can pull from existing stock to fulfill project needs, either fully or partially, while continuing to use Orders and RFQs when inventory runs short.
Users typically land on this page to understand what inventory is available, where it is stored, and how it is being requested or allocated across projects. Inventory works in conjunction with Material Requests, Orders, and deliveries, allowing SubBase to support mixed fulfillment from both warehouses and vendors.
Who Can Do This
Access to the Inventory tab depends on company configuration and permissions. It is commonly available to Admins, Purchasers, warehouse personnel, and other users involved in inventory management or fulfillment.
Before You Start
Inventory is an additional, paid feature in SubBase and must be enabled for your company. Warehouses and inventory permissions must be configured before inventory activity appears on this page.
What You Can See and Do in the Inventory Tab
When you open the Inventory tab, you can view and manage inventory through multiple dedicated sections that reflect how physical stock is organized and used.
You can see warehouse-based inventory stock, including which items are available, committed to requests, placed on quality hold, or blocked from use. Inventory quantities update as stock is added, returned, committed, or replenished through deliveries.
You can also see internal inventory requests tied to projects. These requests represent materials or assets being pulled from warehouses instead of purchased from vendors. Requests move through warehouse-focused statuses that reflect preparation, dispatch, pickup or delivery, and completion.
A warehouse selector allows you to switch between inventory locations, helping teams understand stock levels and activity at each physical site. Search, filtering, and sorting tools make it easy to focus on specific items, requests, or warehouses.
Inventory Sections You Will See
Stock
The Stock section shows current inventory quantities for each warehouse. Items are clearly identified as consumables or assets, with visible quantity states such as available, committed, quality hold, and rejected. This view reflects the real-time physical status of inventory.
Consumable Requests
Consumable Requests show inventory-only requests for materials that are used up and not typically returned. These requests are typically fulfilled by warehouse teams and reduce available inventory as they are completed.
Asset Requests
Asset Requests track the checkout and return of reusable items such as tools or equipment. These requests show whether assets are checked out or checked in and help teams understand where assets are currently assigned.
Warehouses
The Warehouses section lists all inventory locations configured for the company. Each warehouse represents a physical site and may include location and item attributes to help teams identify where items are stored and which specific items are being used.
How Inventory Connects to Other Pages
Inventory works alongside Material Requests and Orders rather than replacing them. Field users can submit material needs without choosing a source. During purchasing, items can be fulfilled from inventory, from vendors, or split between both when inventory is partially available. When orders are delivered to a warehouse, inventory quantities update automatically.
Troubleshooting
If inventory does not appear or cannot be selected, confirm that the Inventory feature is enabled and that the warehouse is associated with the project. If quantities look incorrect, check item history, verify that recent requests, returns, or deliveries have been properly completed.
